Job Summary:

The Gift and Biographical Data Coordinator will require a comprehensive understanding of the overall responsibilities of data services and its role within Advancement Operations. This includes gift processing policies and procedures, receipt/acknowledgment processes, biographical maintenance, and other data maintenance related activities. Advanced computer skills, including use of various computer packages needed to create word processing documents, spreadsheets, timelines, and database reports will be extremely important and will frequently need to be upgraded.

  • Accurately enter gifts and pledges, receipts, pledge reminders, gift documentation, and biographical updates to the advancement database, Raiser’s Edge/RE NXT.
  • Act as a primary point of contact for pledge, gift, and biographical data transfers from other advancement programs and partners.
  • Online and hard copy searches of publicly available information in tracing lost addresses and phone numbers.
  • Review, explain and interpret policies and procedures on all aspects of gift and pledge processing; develop and maintain training manuals and documentation for advancement systems support.
  • Handle and maintain confidential information in a high volume data processing environment.
  • Perform advanced clerical work involving judgment, accuracy, and speed with minimal supervision.
  • Perform additional duties as assigned; duties, responsibilities, and activities may change at any time with or without notice.

Position Qualifications

Minimum Qualifications:

  • High school diploma or equivalent required; professional coursework or post-secondary education is a plus.
  • Minimum 2 years of data entry and professional office experience.
  • Proficient in Microsoft Office, Google applications and document scanning, specifically demonstrating proficiency with Microsoft Excel and Google Sheets.
  • Strong attention to detail and accuracy in data entry and recordkeeping.
  • Must be able to work independently, exercise judgement, and manage projects in a timely manner with minimal supervision, as well as to adjust as new projects are assigned.
  • Ability to work collaboratively as a member of a diverse community and make an impact in a complex team-oriented environment.
  • Strong customer service orientation

  • To successfully perform the essential functions of this position, an employee must be able to maintain appropriate confidentiality with regard to both employee and donor data, documents, issues, etc., and respect privacy needs of donors, employees and past employees with regard to the same.
  • The ability to comply with highly inflexible deadlines is required to successfully perform the essential functions of this position; there will be multiple occurrences of sudden, urgent task completion required.
  • There may be occurrences of employees, past employees, members of the general public, and others who express opinions, may exhibit strong emotions, which will require the employee to interact professionally, diplomatically, and appropriately in such situations.
  • While performing the essential duties of this position, an employee would frequently be required to move around the office space as well as within hallways, meeting rooms, and other parts of the campus facilities.
  • There may be multiple/daily instances of prolonged personal computer use which would include keyboard and/or mouse usage as well as viewing a computer monitor.
  • Specific vision abilities required by this position include close vision, distance vision, and ability to adjust focus.
  • The overall work environment requires the mental ability to shift focus quickly due to interruptions; an employee must be able to mentally track multiple projects and tasks as well.
  • The noise level in the work environment is usually moderate; however, there may be unexpected instances of somewhat loud sounds.
  • Regular working hours are Monday through Friday with the occasional evening or weekend shifts as needed for special events or emergencies. This position will be located in our downtown Waterville office.
