Job Overview
We are seeking a professional, organized, and detail-oriented Appointment Scheduler to join our healthcare team in an in-person role. In this position, you will be responsible for coordinating patient appointments, maintaining accurate scheduling records, and ensuring smooth communication between patients, providers, and administrative staff. Responsibilities
- Schedule and manage patient appointments accurately across multiple EMR systems, including Epic, Meditech, Athenahealth, eClinicalWorks, and other related platforms.
- Confirm patient information and verify appointment details to ensure accuracy and efficiency.
- Answer multi-line phone systems in a professional manner, using proper phone etiquette at all times.
- Assist patients with appointment questions, scheduling requests, cancellations, and rescheduling needs.
- Verify insurance coverage and perform eligibility checks, including Medicare and Medicaid, to support the patient intake process.
- Review and update medical records while maintaining compliance with clinic procedures and HIPAA regulations.
- Coordinate appointment times to support provider schedules and improve overall office workflow.
- Communicate appointment details clearly to patients by phone, voicemail, or electronic messaging when appropriate.
- Maintain organized filing systems for patient records and administrative documents.
- Support front desk operations by assisting with office supplies, patient intake, and general administrative tasks.
- Work closely with medical staff and administrative team members to ensure efficient daily operations.
- Handle confidential patient information with professionalism, discretion, and compliance.
Skills and Qualifications
- Prior experience in appointment scheduling, medical office support, front desk administration, or patient services.
- Strong familiarity with EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or similar platforms.
- Knowledge of medical terminology, scheduling procedures, and healthcare office operations.
- Understanding of HIPAA compliance and patient confidentiality requirements.
- Experience with insurance verification and familiarity with Medicare, Medicaid, and private insurance processes.
- Proficiency in Microsoft Office Suite, including Word and Excel.
- Strong typing, data entry, and documentation accuracy skills.
- Excellent customer service and communication skills with the ability to assist patients professionally and respectfully.
- Strong organizational and time-management abilities with the capacity to multitask effectively.
- Ability to work in a fast-paced environment while maintaining accuracy and professionalism.
- Bilingual skills are a plus and may be beneficial in serving a diverse patient population.
- Previous experience in a medical, dental, or clinic office setting is highly desirable.
Preferred Experience
- Experience working in a healthcare or dental office environment.
- Familiarity with dental management software such as Eaglesoft or Dentrix.
- Background in front desk operations, patient coordination, or administrative support.
- Knowledge of basic medical coding, including CPT and ICD-9/ICD-10, is an added advantage.
