Job Summary:
As Director, you will be responsible for the maintenance and services within Company workplaces to ensure they meet the needs of the organization, its employees, and clients. Cohen & Steers is committed to an inclusive culture, valuing diversity in support of our people and clients.
Major Responsibilities/Activities:
Assist the Vice President, Office Services & Facilities with continual interaction/communication with the firm, property management, and service vendors relating to the workplace systems and conditions
Oversee Office Services & Facilities operations: reception, mail room, conference space, events, workspace environment and space utilization management to ensure continuous quality service to the firm
Maintain established department budget, reporting quarterly and annually on forecasted and actual spend.
Participate in the identification and selection of contract services, vendor negotiation of service agreements and day-to-day monitoring of vendor performance, including housekeeping, catering/pantry, security, shipping services, copier/print services, etc. to assure full compliance with standards established within the service agreements. Verify final invoice pricing and process payments in a timely manner. Continue to monitor and assess vendor performance.
Work with team to set and attain measurable performance and developmental goals. Monitor the progress of team goals and provide appropriate support.
Alongside Vice President, Office Services & Facilities, lead Office Services & Facilities team in working cross-functionally with other internal support organizations such as IT, Human Resources, Finance, Marketing, and Legal to ensure cohesive delivery of services. Maintain effective communication between Office Services & Facilities team and clients.
Develop and deliver white glove service level for all touch points; escalated attention to high-level guests and meetings; influence and build service skills in team members to maintain service standards.
Coordinate “Day Ahead” team reviews, and daily activities to ensure timely, accurate completion of tasks.
Event Planning – Ability to curate small and large events, which are held to enhance workplace productivity and offer an experience-based workplace.
Respond to various Office Services & Facilities requests, verify issue, and take necessary corrective action
Coordinate with outside contractors for the service and repair of equipment.
Assist in identifying and implementing projects that will drive process improvement and/or streamline business processes.
Experience presenting to senior executives.
Flexibility in schedule to work overtime when needed and to accommodate occasional after-hours business activities.
Assist with facilitation of firm-wide sustainable initiatives.
Minimum Requirements:
Minimum of 7 – 8 years of relevant experience
Bachelor’s degree
Proficiency with Microsoft Suite
Ability to keep sensitive information confidential
Previous experience managing others directly
Plan and execute diverse tasks at the same time without supervision
Excellent verbal and written communication skills
IFMA (International Facilities Management Association) membership and/or class certification is a plus
ServSafe Certified preferred

Salary : $120,000 - $130,000
