Position Overview
Cognetic Capital Advisors, a Westchester-based family wealth management firm, is seeking a Client Service and Operations Associate to support high-touch client service, account administration, and daily operating workflows. The associate will work closely with the leadership team and play a key role in ensuring accurate, timely, and professional support across the firm’s family office-style wealth management practice.
- Account Administration: Support new account openings, incoming account transfers, cashiering requests, wires, journals, checks, EFTs, RMDs, and 529 plan distributions.
- Client Service Support: Monitor incoming communications for required follow-up, including capital calls, custodian alerts, tax payments, RMDs, and securities gifting.
- Operational Coverage: Provide backup support for other client service and operations associates and assist with time-sensitive requests as needed.
- Project and Compliance Support: Support audits, document requests, and ad hoc operational projects with accuracy and attention to detail.
- Document Management: Maintain electronic files, client records, PDFs, Microsoft Word documents, and related materials in accordance with firm standards.
Systems and Tools
- Microsoft Excel for file creation, maintenance, updates, and data entry.
- BOX for electronic document filing and archiving.
- Salesforce for contact management, notes, and task management.
- Microsoft Outlook for drafting, archiving, and managing client communications.
- Microsoft Word for letters of authorization and other ad hoc documents.
Required Skills and Qualifications
- BA/BS degree required.
- Minimum of 3 to 5 years of relevant experience with a wealth management firm.
- FINRA SIE, Series 7, and Series 66 licenses required.
- Experience with Fidelity Wealthscape, Morningstar Direct, and FactSet are helpful but not required.
- Strong analytical skills with exceptional attention to detail and accuracy.
- Ability to prioritize work, meet deadlines, and perform effectively under pressure in a dynamic environment.
- Excellent client-facing communication skills, including strong written and verbal communication.
- Ability to manage multiple objectives independently while contributing to a collaborative team environment.
- Self-starter with strong professional judgment, work ethic, and commitment to high-quality execution.
- Proficiency with Microsoft Word, Excel, Outlook, Adobe, and related business applications.
