Position Overview
Cognetic Capital Advisors, a Westchester-based family wealth management firm, is seeking an entry-level Private Equity Administrative Associate to support private equity portfolio administration, investment communications, document management, and daily operating workflows. The associate will work closely with the leadership team and play a key role in ensuring accurate, timely, and organized support across the firm's family office-style wealth management and private investment administration practice.
- Private Equity Administration: Support the administration and tracking of capital call notices, distribution notices, subscription documents, quarterly fund reports, annual tax information, and related private equity investment materials.
- Investment Communications: Monitor, organize, categorize, and route incoming communications from private equity managers, fund administrators, custodians, accountants, attorneys, and other service providers for required follow-up.
- Document Management: Maintain electronic files, cloud folders, PDFs, Microsoft Word documents, subscription records, fund notices, tax documents, and related materials in accordance with firm standards.
- Excel Tracking and Reporting: Create, update, and maintain Excel-based tracking files for private equity investments, deadlines, notices, contributions, distributions, reporting dates, and related administrative information.
- Operational Coverage: Assist with daily operating workflows, special projects, investment record organization, and time-sensitive administrative requests as needed.
- Process and Compliance Support: Help maintain organized records, checklists, follow-up logs, and document retention practices to support accurate internal administration and efficient retrieval of information.
Systems and Tools
- Microsoft Excel for file creation, maintenance, updates, data entry, tracking schedules, and reporting support.
- BOX or other cloud-based document systems for electronic document filing, archiving, and retrieval.
- Microsoft Outlook for drafting, archiving, categorizing, and managing investment-related communications.
- Microsoft Word for letters, summaries, checklists, and other ad hoc documents.
- Salesforce or other contact/task management systems for notes, reminders, tasks, and follow-up tracking, if applicable.
- Adobe PDF tools for reviewing, organizing, saving, and maintaining investment documents and related records.
Required Skills and Qualifications
- BA/BS degree required.
- Entry-level candidates and recent college graduates are encouraged to apply.
- Degree in Finance, Economics, Accounting, Business, or a related field is preferred but not required.
- Strong Microsoft Excel skills required, including comfort with creating, maintaining, formatting, sorting, filtering, and updating structured spreadsheets.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Ability to prioritize work, meet deadlines, and manage multiple recurring tasks in a professional office environment.
- Excellent written and verbal communication skills.
- Ability to organize high volumes of emails, documents, notices, and investment-related information.
- Strong professional judgment, confidentiality, work ethic, and commitment to high-quality execution.
- Self-starter who is willing to learn, ask thoughtful questions, and take ownership of administrative processes.
- Interest in private equity, wealth management, investment operations, or family office administration preferred.
- Proficiency with Microsoft Word, Excel, Outlook, Adobe, and related business applications.
Expected Salary: $65,000–$90,000
