Position Overview:
We are seeking a highly organized and detail-oriented Front Office/Administrative Assistant to join our team. The ideal candidate will be responsible for managing the front desk operations, providing exceptional customer service, and supporting various administrative tasks. This role requires strong communication skills, proficiency in office management, and the ability to handle multiple tasks efficiently in a fast-paced environment.
Key Responsibilities:
Front Office Duties:
·Assist with daily operation of the school offices.
·Assist with registration and enrollment of new students.
·Assist with school attendance.
- 1. Ensure students sign-in/sign-out on sheets provided at the
front office window upon. entering/exiting the building during school hours due
to appointments, illness, tardiness, etc.
- 2. Record tardies.
- 3. Assist in maintaining daily attendance records through the
school database.
·Assist ill or injured students.
·Assure safety of the front entrance to the facility by
maintaining visual contact with the flow of persons entering and exiting the
building.
·Distribute office, classroom, and medical supplies.
·Greet all visitors, determine their needs, and respond
accordingly. Ensure visitors sign-in/sign-out on sheets provided at the front
office window.
·Maintain medical authorization files: record name, date,
time, and dosage of medication administered; coordinate year-end disposal with
police.
·Organize parent carpool transportation.
·Assist in maintaining the event calendar.
Administrative Assistant Tasks:
·Assist in scheduling cash boxes for athletics/activities.
·Assist in the purchase ordering process.
·Assist in communicating athletics/activity dates and
results.
·Coordinate approved communication channels for
athletics/activities.
·Help maintain records associated with student
athletics/activities.
·Help maintain equipment inventories.
·Assist with creating and updating various publications.
Qualifications:
·Preferred knowledge of Skyward Qmlativ and Canva
·Use of Google Suite, especially Google Sheets
·Strong organizational skills
·Adept at learning new platforms
·Posting on social media
· Strong organizational and communication skills.
· Ability to work collaboratively with students, staff, and the community.
· Passion for fostering a positive and engaging school culture.
Terms of Employment:
· Employment is under a 200 day contract paid over a 12 month period.
