At our Beaverton Recovery Center, our Site Support Specialists are the backbone of clinical operations—ensuring patients receive timely, respectful, and well-coordinated access to care.
About the Role:
The Site Support Specialist plays a critical front-line role in welcoming patients, ensuring smooth administrative processes, and supporting overall clinic operations. From admitting new patients to verifying insurance and maintaining records, you will help create a therapeutic, efficient, and patient-centered environment. If you're detail-oriented, compassionate, and great at juggling tasks, this role is for you.
What You’ll Do:
- Admit new patients into Residential Programs, guide them through intake paperwork, process releases of information, search belongings, verify insurance, and provide warm hand-offs to clinical staff
- Coordinate patient intake scheduling with the admissions team and assist patients with Oregon Health Plan reactivation
- Verify insurance coverage, obtain authorizations, and confirm benefit eligibility
- Support patient needs by managing and distributing Food Stamp cards in collaboration with OHA DHS Self Sufficiency representatives
- Maintain accurate and timely patient files, prepare closed charts for records, and ensure HIPAA compliance
- Greet and assist patients, guests, and callers with professionalism and empathy
- Open and close the admit building, maintain a clean, organized, and welcoming environment
- Participate in team meetings and ongoing trainings
- Use CODA’s electronic health record (EHR) system to input and manage patient data
- Provide short-term coverage for other support roles as needed
What You Will Bring:
- Preferred: High school diploma or GED
- Preferred: Training or experience in administrative support, medical office operations, or practice management
- Preferred: 2 years of relevant customer service experience in a nonprofit, medical, or recovery-based setting
- Exceptional attention to detail, organizational skills, and ability to work independently
- Compassionate communication and de-escalation skills, especially with individuals navigating trauma or recovery
- Ability to maintain strict professional boundaries and confidentiality
- Proficiency in Microsoft Office and electronic health records
- Awareness of clinical environments and ability to recognize and respond to situations that could pose safety or ethical concerns
