REGISTRAR

Nature of Work
To support the efficient operation and management of student academic and attendance records and related functions by ensuring accuracy, compliance with state and federal regulations, and effective support of school and district operations.
Duties and Responsibilities
●Maintain official student cumulative records in accordance with district, state, and federal regulations.
●Ensure all student records meet New Mexico Public Education Department (NMPED) compliance requirements.
●Verify and maintain accurate student demographic data.
●Maintain custody documentation and legal records.
●Manage and maintain student information systems and databases.
●Process student registrations, enrollments, and withdrawals.
●Maintain accurate enrollment reporting and documentation.
●Ensure accurate reporting for attendance, enrollment, and graduation tracking.
●Maintain attendance documentation and records.
●Maintain transcripts and official graduation records.
●Process transcript requests in a timely and accurate manner.
●Verify credit tracking and monitor student progress toward graduation.
●Manage course history updates and corrections.
●Maintain dual enrollment documentation and records.
●Manage student schedules and scheduling systems.
●Coordinate with Guidance/Academic Counselor on schedule changes.
●Assist counselor with schedule corrections and adjustments.
●Support preparation of testing rosters and student data uploads.
●Assist with data verification and reporting for academic programs.
●Adhere to procurement statutes and district procedures for purchasing supplies and services.
●Order, inventory, and maintain office supplies and materials.
●Support monthly billing processes for school and programs.
●Assist with inventory control and operational recordkeeping.
●Organize and facilitate scheduling and use of meeting spaces and instructional resources.
●Contribute to harmonious working relationships with other employees and the public while projecting a position image of the District.
●Work well under pressure of deadlines at all times maintaining composure and professionalism by communicating with a variety of people, demonstrating excellent telephone and communication skills.
●Complete mandatory annual Vector Training.
●Exhibit professionalism by maintaining good attendance and adhering to established work schedule.
●Comply with the Code of Ethics, administrative directives, board policy, state and federal statutes and rules and regulations.
●Communicate and display courteous and professional behavior toward students, the public, the Immediate Supervisor, School and District Administrators, staff and peers.
●Safeguard the confidentiality of information pursuant to the Family Educational Rights and Privacy Act (FERPA) and other applicable state and federal statutes.
●Perform such other tasks as may be assigned.
Minimum Qualifications
1.Associates degree or higher from an accredited college or university
2.Three (3) to five (5) years of school-based clerical experience
3.Experience with Student Information Systems such as PowerSchool
4.Valid New Mexico Driver’s License
5.Ability to pass a criminal background check
Environmental and Physical Factors:
Work is performed in a standard office environment. Light physical demands; frequent use of a personal computer and standard office equipment.
