ABOUT THE POSITION
At COBE we emphasize building Long-Term Partnerships with all of our Construction Partners. As an Accounts Payable Specialist your emphasis will be in building and maintaining great partnerships between our COBE Accounting and Project Management Teams and our Subcontractors. Ultimately, everyone is happy if we pay our subcontractors faster, and to do that you will be expected to:
Efficiently and Accurately Perform a High Volume of Subcontractor Related Activities
- Manage subcontracts and change orders, including tracking and input into the accounting system
- Process subcontractor pay applications and invoices, ensuring accuracy
- Maintain compliance documentation (COIs, lien waivers, W-9s, and subcontractor paperwork)
- Prepare and process check runs while tracking retention and confirming lien waivers and COIs are up to date
- Support Project Managers and help them stay on top of their subcontractor contracts, billing, and payments
- Coordinate with Accounts Receivable to ensure timely subcontractor payment
Effectively Communicate with all Construction Partners
- Communicate clearly and professionally with subcontractors, Project Managers, the Accounting Team, and all of COBE
- Be responsive and resolve discrepancies and questions quickly and respectfully
- Build and maintain strong working relationships based on trust
- Be a positive go-to resource for the COBE team
- Be an advocate for our subcontractors so that they get paid, have success, and want to keep working hard for COBE
Be Tech-Forward and Process Improvement Focused
- Learn and navigate COBE’s proprietary construction project management software quickly and confidently
- Be open to using technology to streamline workflows, increase efficiency, and reduce manual redundancies
- Help identify improvements to Accounts Payable and billing processes to support accuracy and speed
As part of our collaborative office team, you will also assist with general office support duties as needed, including answering incoming phone calls, greeting visitors, helping with day-to-day administrative tasks, and all things necessary to support smooth operations.
ABOUT YOU
You will need to have
- 2 years of Accounts Payable experience, ideally in commercial construction or project-based accounting, and even better with knowledge of construction partner portals like Ariba, Coupa, GCPay, Amazon Payee Central, Vendor Cafe, Paymode X, Tesla Portal, Oracle, GRMS, Avetta Connect, Highwire and Bill.com
- Knowledge of construction contracts, insurance compliance, lien laws, AIA billing, pay applications, and retention
- Exceptional accuracy and attention to detail — catch errors before they reach the Project Managers or Subcontractors
- Strong organizational skills and the ability to manage shifting priorities across multiple projects and deadlines.
- Excellent communication skills (written, oral and presentation)
- Strong critical thinking and a willingness to effectively create solutions to difficult situations
- A strong work ethic, high integrity, relentless drive and enthusiasm, and a desire for long-term employment
- Reliability and regular on-time attendance, and professional and appropriate demeanor and appearance
- Confidence using common software and communication tools and an ability to quickly learn and adapt
- A strong desire to use your knowledge and skills to improve COBE
