Full-Time | Part-Time | In-Clinic Position
Coastics Wellness Aesthetics is a luxury medical spa and wellness clinic dedicated to helping our patients look and feel their best through injectables, advanced skincare, weight loss programs, hormone optimization, peptides, and transformative wellness services. We are growing rapidly and seeking a warm, reliable, and highly organized Front Desk / Patient Care Coordinator to join our team and become the first friendly face our patients see.
Position Overview
The Front Desk / Patient Care Coordinator plays a vital role in creating an exceptional patient experience. This individual will manage patient flow, coordinate scheduling, support providers, and maintain a welcoming, upscale environment. We are looking for someone who thrives in a fast-paced setting, communicates professionally, and genuinely enjoys caring for patients.
Responsibilities
Patient Experience & Front Desk Operations
- Welcome all patients with a warm, friendly, professional demeanor
- Answer phones, return voicemails, manage text/email communication
- Check patients in/out and ensure a seamless, positive visit
- Maintain a clean, organized front desk and waiting area
- Assist patients with intake forms, consents, and payment processing
Scheduling & Coordination
- Schedule appointments through Vagaro with accuracy and efficiency
- Manage provider schedules and patient flow throughout the day
- Confirm appointments, handle cancellations, and maintain waitlists
- Educate patients on services, memberships, promotions, and treatment options (training provided)
Administrative & Support Duties
- Process payments, memberships, and retail purchases
- Maintain inventory of front office supplies and restock as needed
- Support marketing efforts: taking pictures/videos (if comfortable), engaging with patients for reviews, etc.
- Assist with special events, open houses, Botox parties, and seasonal promotions
- Uphold HIPAA, privacy standards, and safety protocols
Qualifications
Required
- Exceptional customer service skills
- Strong communication skills (in-person, phone, and written)
- Ability to multitask and stay organized in a busy environment
- Professional appearance and demeanor
- Comfortable learning and explaining aesthetic wellness services
- Reliable, punctual, and team-oriented
Preferred (but not required)
- Previous experience in medical aesthetics, dermatology, wellness, spa, or healthcare
- Familiarity with Vagaro or similar scheduling software
- Sales or customer service experience
- Social media or marketing interest
- Basic knowledge of neurotoxins, fillers, IV therapy, or weight loss programs (training provided)
