Invoicing & Shipping/Logistics Coordinator

Position Summary

Coastal Wipers, Inc. is seeking a detail-oriented Invoicing & Shipping/Logistics Coordinator to manage the billings

administration and coordinate outbound/inbound freight for our industrial wiping product lines. This role sits at the

intersection of accounting and operations, ensuring customer invoices are accurate and timely, order documentation is

prepared correctly, and LTL shipments are scheduled, tracked, and documented properly. The ideal candidate is

comfortable working across our order entry system (Method) for generating invoices, Google Business Aps (Gmail,

Sheets, Drive) and carrier systems, and takes ownership of catching errors before they become customer or billing

problems.

Key Responsibilities

Invoicing & Billing

• Generate and issue accurate customer invoices in Method based on completed sales orders and shipment

confirmations.

• Verify pricing, quantities, freight charges, and applicable sales tax (FL, GA, TN, and other served states) before

invoices go out.

• Reconcile invoices against sales orders and purchase orders; research and resolve discrepancies with sales or

warehouse staff.

• Maintain organized, audit-ready invoicing records and support month-end close by flagging unbilled or

unmatched orders.

• Field and resolve customer billing inquiries, short-pay issues, and invoice disputes professionally and promptly.

• Process credit cards for payment and reconcile month end statement.

Shipping & Logistics

• Coordinate outbound LTL/FTL freight shipments, obtaining and comparing carrier rates/transit times (e.g., Estes,

ODFL, XPO, Saia, and more) to select the best option for each order.

• Route planning for company local trucks

• Prepare shipping documentation including bills of lading, packing slips, and carrier pickup requests.

• Track shipments in transit, proactively communicate delays to customers and sales staff, and resolve freight

claims or damage issues.

• Coordinate with the warehouse/production team to confirm order accuracy and readiness prior to pick up.

• Maintain shipping logs and freight cost records to support monthly freight-out reconciliation.

• Schedule and document inbound Vendor pickups

• Log shipping errors or disputes in the admin error log and flag process gaps to the Vice President.
