Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties

  • Serve as the first point of contact at the front desk, greeting visitors and directing phone calls with professionalism and courtesy
  • Manage multi-line phone systems, screen calls, and relay messages accurately and promptly
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization
  • Maintain calendars, schedule appointments, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Assist with bookkeeping tasks using QuickBooks and support basic office management functions
  • Provide excellent customer service by responding to inquiries via phone or email, supporting client needs effectively
  • Support office management activities including supply ordering, record keeping, and maintaining a tidy work environment

Requirements

  • Proven experience in an office setting with strong clerical skills and familiarity with office management procedures
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy
  • Experience with QuickBooks or similar bookkeeping software is highly desirable
  • Bilingual abilities are a plus to serve diverse clients and team members effectively
  • Excellent organizational skills with keen attention to detail; ability to prioritize tasks efficiently
  • Strong typing skills coupled with good phone etiquette and customer support experience
  • Previous experience as a receptionist, personal assistant, or medical/dental receptionist is advantageous
  • Knowledge of multi-line phone systems, data entry procedures, filing systems, and calendar management tools
