Job Overview
The Front Desk Team Member serves as the first point of contact for patients and visitors at Coastal ENT. This role is essential to delivering exceptional patient experience while ensuring accurate patient registration, insurance verification, appointment scheduling, and point-of-service collections. The Front Desk Team Member supports clinic operations by maintaining front-end revenue integrity, effective communication, and a welcoming environment for patients and families.
Duties
- Patient Reception & Customer Service
Greet patients and visitors promptly and professionally, ensuring a welcoming and respectful experience
Demonstrate excellent customer service skills while maintaining patient confidentiality and HIPAA compliance
Address patient questions or concerns and escalate issues appropriately when needed
- Patient Registration & Insurance Verification
Accurately register new and returning patients in the electronic health record (EHR), Modernizing Medicine experience a plus
Verify patient demographics, insurance eligibility, and referral/authorization requirements prior to services
Obtain and scan required documentation, including identification, insurance cards, and consent forms
- Point-of-Service Collections
Collect copayments, coinsurance, deductibles, and outstanding patient balances at check-in or check-out
Issue receipts and document payments accurately in the EHR/practice management system
Balance daily cash, check, and credit card batches and reconcile discrepancies per practice policy
- Appointment Scheduling
Answer incoming phone calls in a timely, courteous, and professional manner
Schedule appointments according to provider templates, clinical guidelines, and visit types
Confirm appointments and communicate preparation instructions or documentation requirements to patients
- Phone & Message Management
Take detailed and accurate patient phone messages and route them to the appropriate clinical or administrative staff
Utilize proper message escalation protocols for urgent or time-sensitive concerns
Maintain professionalism and empathy during high-volume call periods
- Administrative & Team Support
Maintain a clean, organized, and efficient front desk and waiting area
Collaborate with clinical staff, billing, and management to support smooth patient flow
Adhere to Coastal ENT policies, procedures, and performance expectations
Requirements
- High school diploma or equivalent required
- Previous experience in a medical office, front desk, or patient access role preferred
- Knowledge of insurance verification, copays, and basic medical billing concepts preferred
- Strong communication, organizational, and multitasking skills
- Ability to handle sensitive information with discretion and professionalism
- Proficiency with computers, EHR systems, and multi-line phone systems

Job Type: Full-time
Pay: $16.00 - $18.00 per hour
Expected hours: 36 – 40 per week
