Job Description: Towing Dispatcher / Office Assistant
Reports to: General Manager
Hours: Full-Time
Purpose & Objective:
The Towing Dispatcher / Office Assistant plays an important role in the daily operations by ensuring that tows are being dispatched promptly, accurately, and efficiently as well as assisting in account billing, account reconciliations, financial reconciliations, QuickBooks entries, payroll input, and answering phone calls all while maintaining exceptional customer service.
Job Responsibilities and Duties:
PRIMARY:
- Manage the day-to-day towing dispatching operations. This includes ensuring tows are accepted in a timely manner and dispatched in such a way as to utilize the most efficient route/driver as possible and input impounds accurately for proper record keeping
- Customer / Account billing duties which include collecting payments, reconciling and billing motor club accounts, and ensuring billing accuracy of services performed.
- Collect payments from customers and accurately maintain vehicle release records.
- Verify invoicing accuracy and bill-out motor club accounts in a timely manner to ensure payments are received on time.
- Provide accurate and timely driver payroll information to management so that there are no delays or discrepancies in weekly payroll.
- Answering and distributing phones to the proper department / personnel.
SECONDARY:
- Assist with managing the day-to-day impounds by ensuring accuracy of dates, locations, storage duration, billing, and abandoned titling duties.
- Assist with bank, payroll, and financial reconciliation.
- Assist with fuel card / credit card reconciliation.
- Assist with QuickBooks input and reconciliation.
- Assist the accounting firm by providing necessary company documents or research as needed.
- Assist with HR duties such as employee record keeping, coordinating drug tests / physicals for new hires, and requesting employee MVR / background checks as needed.
- Accurately manage and maintain company documents, procedures, and policies.
- Maintain a clean and organized office.
Additional responsibilities and duties may be necessary based on the needs of the business.
Qualifications, Knowledge, Skills, and Abilities:
- Strong ability to lead and organize.
- Strong ability to work in a fast-paced environment with an emphasis on an ability to think and react quickly and accurately to the dynamics of day-to-day operations.
- Strong computer skills.
- Ability to use Google Maps and knowledge of local areas to plan most efficient logistical routes “on-the-fly”.
- Exceptional customer service skills and ability to go above and beyond even when customers are being rude or are agitated.
- Moderate knowledge of Microsoft applications such as Word, Excel, Outlook email, and Teams.
- Moderate knowledge of basic accounting skills such as billing, financials, deposits, payroll, and account reconciliations.
- Basic knowledge of QuickBooks.
- Ability to lift 35 lbs. without assistance.
