CO-Ver is a growing software company looking for an organized, dependable Operations Coordinator to keep our Jacksonville office running smoothly. This is a behind-the-scenes role — there's no walk-in traffic. You'll support our team with scheduling, documentation, and office operations, and handle the day-to-day details that support the growth of the business. It's a great first role for someone who wants to grow with a startup in a professional office environment.
This role is for a true self-starter. You won't be handed a task list every morning. We're looking for someone who learns what the business needs, builds a consistent daily and weekly routine around it, and keeps things moving independently — spotting what needs to be done and handling it without being asked.
- Answer and route phone calls and manage the general email inbox
- Maintain calendars, schedule meetings and appointments, and send reminders
- Schedule product demos with prospective and beta customers, coordinating calendars and sending confirmations
- Prepare, format, and proofread correspondence and other documents
- Keep the company Google Drive organized — file documents in the right folders, apply naming standards, and archive outdated material
- Receive vendors and deliveries (water service, packages, couriers), sign for and distribute items, and process outgoing mail
- Track and order office supplies; coordinate with vendors and building maintenance
- Support the team with special projects and other administrative duties as assigned
Required
- High school diploma or GED
- Strong written and verbal communication skills
- Working knowledge of Microsoft Office (Word, Excel, Outlook) and/or Google Workspace
- Highly organized, detail-oriented, and able to manage multiple tasks
- Self-motivated and able to work independently with minimal day-to-day direction
- Able to build and maintain a consistent routine based on the business's ongoing needs
- Professional, friendly demeanor with coworkers and vendors
- Reliable transportation and ability to work in office Monday–Friday in Jacksonville (32224)
Preferred
- 0–1 year of office, reception, or customer service experience (internships and school jobs count)

- Familiarity with scheduling or calendar tools
- Interest in technology or working at a startup
