Job Summary :
The Administrative Director (AD) plays a pivotal role in overseeing the overall business management of a healthcare practice. Reporting directly to the physician partners, the AD is responsible for directing the day-to-day operations, including administrative, fiscal, clinical, and facility needs. The AD will also manage billing and accounts receivable, while developing and implementing policies and procedures that align with all relevant healthcare regulations, including Medicaid, Medicare, and HCFA requirements. This role will drive organizational improvements through the introduction of innovative strategies and systems designed to streamline operations and enhance patient access and care.
Key Responsibilities :
- Manage and oversee all day-to-day operations of the practice, including office management, billing, and accounts receivable processes.
- Review and optimize accounts receivable policies to ensure timely billing and collection, minimize uncollectible accounts, and maintain positive cash flow.
- Develop and implement strategies to maximize revenue, ensuring compliance with reimbursement and payment policies in line with healthcare reforms.
- Continuously analyze workflow systems and physician billing procedures, providing timely recommendations for improvements.
- Maintain open lines of communication with physicians through weekly meetings and regular updates.
- Prepare and present quarterly KPI dashboards and financial reports to the physician partners.
- Collaborate with management teams to provide educational training for physicians and staff on accurate procedural and diagnostic coding.
- Ensure compliance with all legal and regulatory requirements, including HIPAA and MIPS, by staying informed about changes in regulations and implementing necessary controls.
- Develop and implement operational and quality standards to improve practice efficiency and patient care.
- Support the management of both primary and satellite clinic operations, focusing on personnel, equipment, patient access, and processes.
- Provide guidance to team leaders in the development of human resources and operational processes, ensuring alignment with clinical policies and quality standards.
- Prepare, review, and submit the annual operating budget, ensuring adherence to budget guidelines.
- Establish a responsive operational presence, addressing inquiries and issues promptly.
- Collaborate with physician partners to establish clear goals and objectives for the practice's continued success.
- Keep up to date with industry trends and advancements in physician practice management and healthcare reform, fostering relationships with key stakeholders to drive improvements.
- Foster a culture of open communication through regular meetings and reviews, ensuring transparency and collaboration.
- Ensure the safeguarding of organizational assets and resources.
- Lead the financial management of the practice, including accounting, budgeting, internal controls, and reporting.
- Identify and present opportunities to enhance operational efficiency and cost containment without compromising the quality of care.
- Represent the practice in its relationships with community organizations, businesses, and government agencies.
- Regularly report to physician partners on the performance of various departments and the overall practice.
- Ensure all activities comply with federal and state regulations, staying informed about pending legislation.
- Maintain active participation in industry groups and professional associations, including regular virtual and in-person meetings.
