Position Summary:
As a Buyer/Planner at CMT Imports, you will play a critical role in executing the purchasing, logistics, and inventory planning processes that drive our supply chain success. You will be responsible for managing purchase orders, coordinating inbound logistics, ensuring compliance with trade requirements, and maintaining accurate shipment and cost records. You will collaborate across multiple teams to balance cost, lead time, and customer satisfaction while ensuring shipments flow efficiently from global suppliers to our U.S. warehouses.

Key Responsibilities:
Purchasing & Supplier Coordination
· Collaborate with the customer service team to gather customer forecasts, understand changing demand patterns, and adjust purchasing and inventory plans accordingly.
· Issue purchase orders to suppliers based on forecasts, sales orders, and inventory targets.
· Manage supplier relationships to ensure timely deliveries, consistent quality, and proactive communication on supply status.
· First communication with suppliers regarding new bookings, ensuring packing list includes PO numbers, part details, and parts ready date.
· Review parts to determine if expediting is needed, then book containers based on transit mode, cost, lead time, and arrival port.
Logistics & Freight Management
· Work with freight forwarders to secure space, receive booking details, and make adjustments as needed.
· Record all quoted origin and ocean costs from forwarders; maintain updated shipment tracking sheets.
· Enter shipment details and costs into Acumatica, including customs clearance and trucking fees.
· Monitor containers at port, tracking updated arrival times using Gnosis/Gilco systems.
· Coordinate with CCHB for containers moving from arrival port to Cincinnati rail, and Gilco for trucking from rail to Exon Ave..
· Provide updates to the warehouse on container arrivals, including number of containers and delivery dates.
· Approve freight bills upon receipt, confirming alignment with quoted costs before forwarding to accounting.
· Compile biweekly freight updates using data from forwarders and distribute to accounting and sales (for customer updates such as Kawasaki).
Inventory & Risk Management
· Analyze & adjust safety stock levels, minimum order quantities, & lead times based on customer forecasts & historical data.
· Manage excess/obsolete inventory & identify inventory at risk of being >90 days old.
· Support new product launches by coordinating supplier readiness, order timing, and logistics planning.
· Manage “ship to” and “ship from” External Warehouse.
· Process damage claims if necessary, after identifying the root cause of the issue.
Compliance & Reporting
· Ensure all international shipments comply with import/export regulations and documentation requirements.
· Track and report key supply chain KPIs such as on-time delivery, inventory turnover, and freight performance.
· Maintain accurate purchase order and shipment data within ERP (Acumatica).
· The employee may participate in other cross-functional projects or tasks as required.
Qualifications:
- 3–5 years of experience in purchasing, planning, or supply chain operations; bachelor’s degree in supply chain, business, or a related field preferred.
- Strong understanding of end-to-end supply chain processes, including purchasing, importing, and inventory management.
- Background in global purchasing and familiarity with U.S. import compliance requirements is highly preferred.
- Hands-on experience using ERP/MRP systems for purchasing and inventory management. Experience with Acumatica is a plus.
- Proficiency in Excel and reporting tools; ability to build and maintain purchasing and inventory reports.
- Experience working with or managing freight through automated logistics platforms is a plus.
- Ownership mindset: accountable for KPIs and driving action when goals are not met.
- Strong organizational, communication, and problem-solving skills.
- Self-motivated, proactive, and able to work independently as well as in a team environment.
