Job Summary
Administrative Assistant duties and responsibilities include providing administrative support to help ensure efficient operation of the Office and Operations field through a variety of tasks primarily related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all relevant duties are completed accurately and delivered with high quality in a timely manner.
Job Duties and Responsibilities:
- Perform various administrative tasks directly supporting the Principals and TN Operations
- Responsible for tracking relevant data and the preparation and distribution of regularly scheduled reports and communication
- Handle sensitive information in a confidential manner
- Communicate effectively with employees, vendors, and guests via email and/or telephone
- Assist in maintaining market directory and contact lists
- Carry out clerical duties such as filing, typing, copying, binding, scanning, printing, laminating
- Answer and direct phone calls, maintain in-house phone system
- Receive, sort and distribute incoming mail; Prepare outgoing mail
- Ensure proper operation of office equipment and schedule maintenance as needed, order office supplies, assist in managing company technology
- Greet and assist visitors to the office
- Participate and assist with preparation of company events and NSO's
REQUIREMENTS
- Strong organizational and planning skills with attention to detail
- Excellent time management skills and ability to multi-task and prioritize work
- Excellent written and verbal communication skills
- General knowledge of Accounting a plus but comfort working with numbers is essential
- Proficient in MS Office; preferably Office 365, One Drive and Sharepoint; Quickbooks knowledge a plus
- Able to utilize discretion in handling confidential material
