Description:

CMC:Foundation for Change, a young and growing nonprofit that supports families affected by substance use, is seeking a highly motivated, detail-oriented Program Manager.

Our ideal candidate: A proactive, systems-minded individual with excellent organizational and communication skills. You’re comfortable juggling multiple priorities, managing projects, and handling both the big picture and fine details. You’ll report directly to the Executive Director and help keep both daily operations and long-term projects running smoothly.

This is a hybrid role: primarily remote, with in-person meetings required at our Manhattan office (approx. 1 time per week, with some flexibility). Start date ASAP; we are willing to be flexible for the right candidate.

This is a full time position (40 hours/week). Hours are primarily Monday - Friday, 9AM-5PM which may very occasionally require work on weekends or evenings with advanced notice. Salary range $75,000–$85,000 (FTE) commensurate with experience. Benefits include paid time off, 401k match, and partially employer-paid health coverage.

Requirements:


Qualifications:

  • 3–5 years of experience in nonprofit program management or coordination, grants administration, or a related field.
  • Bachelor’s degree preferred.
  • Strong project management skills, with ability to organize complex workflows, manage competing deadlines, and track multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Experience with grant funding cycles, including proposal preparation, tracking deliverables, and reporting.
  • Comfortable with basic data and budgets.Able to track financial and program metrics, and collaborate on reporting.
  • Ability to work independently, anticipate needs of the organization, solve problems, and follow through on tasks with minimal oversight.
  • Demonstrated experience working in a hybrid position with remote days.
  • Ability to work as a team player! We are a small organization and rely on each other heavily.
  • Strong technical proficiency and comfortable with learning new systems. Proficiency with Microsoft Windows operating system, Word, Excel, G Suite (Google Docs, Sheets, Slides), Zoom. Experience with Salesforce is a plus, though not required.

Core Competencies:

  • Act as a key collaborator with the Executive Director, helping manage organizational priorities and deadlines.
  • Comfortability tracking large and complicated projects under the guidance of the ED, including:
    • Tracking and coordinating timelines, and deliverables.
    • Liaising with volunteers and community partners.
    • Documenting key decisions, next steps, and assigned tasks for projects from planning meetings.
    • Ensuring follow-through on outstanding items, helping ED keep projects moving forward.
  • A willingness to pitch in where help is needed to get projects across the finish line.

Job Responsibilities:

  • Oversee active grants
    • Track grant deadlines, reporting requirements, and deliverables
    • Maintain an organized tracking system of due dates and activities
    • Support preparation of interim and final reports
    • Support basic financial and budget tasks related to grants and programs, including:
      • Assisting ED with budget planning and financial reporting
      • Monitoring expenses and revenue against budget projections
    • Collaborate with Community Implementation Manager around data collection projects as needed
  • Help to identify and pursue grant opportunities to support new and existing programs
    • Research relevant funding opportunities from foundations, government agencies, and institutional funders
    • Assist with drafting grant applications, letters of inquiry, and supporting materials
  • Support oversight and growth of the Community Support Groups Program
    • Help track the launching, running, and closing of support groups.
    • Assist with the management of group leaders, including managing volunteer signups, coordinating the onboarding and offboarding of leaders, and managing the distribution of needed materials, resources, and knowledge to group leaders.
    • Receive feedback from group leaders and help implement feedback to improve programming.
    • Assist with the ongoing development of this program and develop new tracking systems as it grows.
  • Support oversight and growth of our ITC Certified Community
    • Help manage and support our community of ITC Certified Group Leaders, through outreach, direct support, and management of community programming.
    • Help manage community resources including our support group directory, our group leader portal, and our facebook group.
    • Help plan and promote our intra-community programming, including twice-monthly support meetings and quarterly seminars.
    • Receive community feedback and support the development of new resources for the community that aligns with their needs.
    • Proactively build tracking and management systems as the program continues to grow.
  • Contribute to program development
    • Help design and refine programs that are scalable and efficient and serve the needs of our community
    • Help build and maintain internal systems to track program progress, materials, and participant engagement
    • Identify opportunities to streamline workflows, reduce duplication, and ensure consistency across offerings
