Position Summary

We are seeking a highly organized, driven, and proactive Executive Assistant to provide direct support to the President and Executive Team. This person will serve as the organizational backbone of the company’s leadership — creating structure, implementing systems, and ensuring that critical priorities are executed with precision.


The ideal candidate is an intelligent, detail-oriented self-starter who takes ownership, anticipates needs, and enjoys learning new things. This role is perfect for someone who finds satisfaction in building order out of chaos, managing complex logistics, and holding busy executives accountable to their goals.


Key Responsibilities

- Proactively manage the President’s schedule, meetings, and priorities based on strategic goals and time constraints.

- Coordinate meetings with internal and external stakeholders — ensuring all necessary information, documents, and participants are prepared and aligned.

- Hold executives accountable to their own schedules and commitments; create and maintain systems that drive discipline and follow-through.

- Act as the primary administrative liaison between the executive team and other departments.

- Conduct thorough research on behalf of the President and Executive Team — distilling information into concise, actionable summaries for quick decision-making.

- Take ownership of administrative processes for executive initiatives (e.g., license applications, certifications, company registrations, or personal projects).

- Manage “concept-to-completion” tasks with minimal input — from researching requirements to submitting final documents and scheduling milestones.

- Plan and coordinate company and personal travel for executives and their families — handling research, logistics, itineraries, reservations, and documentation well in advance.

- Handle highly sensitive information with absolute discretion and professionalism.

- Manage personal and financial information under a strict non-disclosure agreement (NDA).

- Learn and improve upon the President’s personal process for decision-making — preparing concise summaries that enable quick, confident decisions.

- Develop systems, templates, and procedures that improve efficiency across the executive function.


Qualifications

- Minimum of 5 years of experience supporting senior executives in a fast-paced, entrepreneurial environment.

- Demonstrated ability to organize and execute complex projects independently.

- High level of intelligence, initiative, and curiosity — enjoys learning new topics quickly.

- Exceptional attention to detail and time management skills.

- Comfortable working with minimal direction and making sound judgments.

- Confident communicator — able to hold executives accountable with tact and professionalism.

- Strong written and verbal communication skills.

- Proficient with Google Workspace, Microsoft Office, and modern productivity tools (Asana, Notion, or similar).

- Bachelor’s degree preferred but not required.

- Willingness to occasionally work evenings or weekends based on executive needs.

Compensation & Benefits

- Salary range: $85,000–$110,000, based on experience.

- Performance-based annual bonus.
