Overview
We are seeking a highly organized and detail-oriented Personal Training Operations Coordinator to support the administrative and operational needs of the personal training department. This role serves as an extension of the Wellness Manager and focuses primarily on back-office operational support, system organization, and recruiting coordination. The coordinator will help ensure trainer records, internal systems, and operational processes remain accurate and organized across locations. While the position is primarily administrative, occasional in-club support may be required for trainer education initiatives and equipment orientations.
Key Responsibilities
Administrative Operations Support
• Assist with processing personal training cancellations, freezes, and refunds
• Maintain accurate records related to client accounts and service adjustments
• Support documentation and organization of personal training operational processes
• Assist the Wellness Manager with operational task management
• Maintain accurate records related to client accounts and service adjustments

System Auditing & Data Management
Conduct routine audits across internal platforms, including:
- Trainerize
- Club Connect
- Paycom (certification and employee records)
• Ensure trainer profiles, certifications, and system records remain current and compliant
• Identify missing or outdated information and coordinate updates
• Maintain organized trainer onboarding and credential records

Recruiting & Candidate Coordination
• Monitor incoming personal trainer applications
• Initiate first contact with candidates
• Coordinate and schedule interviews with leadership
• Maintain organized records of applicants and hiring status

Trainer Education & Equipment Orientation Support
• Assist with hosting Glute Builder equipment orientations for members and trainers
• Support occasional in-club equipment orientations when needed
• Reinforce safe equipment usage and training best practices
• Support trainer education initiatives tied to personal training services

Operational Support
• Help maintain consistent operational standards across clubs
• Assist with occasional audits of in-club personal training setups
• Identify operational gaps and communicate updates to leadership

Qualifications
• Certified Personal Trainer (NASM, ACE, ISSA, ACSM, NSCA or equivalent) required
• Strong organizational and administrative skills
• Comfortable working across multiple software platforms
• Excellent communication and coordination skills
• Strong attention to detail and ability to manage multiple tasks
• Fitness industry experience preferred
• Ability to travel occasionally between clubs if needed

Physical Requirements
This position may be physically demanding at times. Requires the ability to stand, walk, or sit for up to 8 hours throughout the workday—the ability to lift up to 25 pounds. The ability to remain mobile for long periods of time may be required.
