MandateOwn the appointment book for a pod of Clove offices. Keep provider schedules full, productive, and balanced so clinical capacity never goes to waste and patients get seen when they need to be. You are the person who turns open chair time into booked, confirmed, production-generating appointments.
You own- Schedule building: Book, confirm, reschedule, and cancel patient appointments across your assigned offices. Match appointment types to provider and operatory availability.
- Filling the book: Work cancellations, no-shows, and same-day openings. Maintain an active waitlist and ASAP list so holes get filled fast.
- Provider coordination: Build dentist and hygienist schedules to template — right mix of new patients, hygiene, restorative, and high-production procedures. Flag gaps and overbooks before the day starts.
- Recall & reactivation: Run recall lists. Get overdue hygiene patients re-appointed and reactivate lapsed patients.
- Confirmations: Confirm upcoming appointments by phone, text, and email. Reduce no-shows through proactive reminders and pre-appointing.
- Patient communication: Handle scheduling calls and messages with a warm, professional tone. Triage urgent needs and route clinical questions appropriately.
- Front desk partnership: Coordinate with front desk and treatment coordinators on insurance verification timing, treatment plan follow-ups, and patient flow.
- New office support: Help pre-book the schedule for new office launches so providers open with a full book.
- Schedule utilization: Provider/chair time booked at or above target fill rate
- Production: Scheduled production meets or exceeds daily goal per provider
- No-show / cancellation rate: Baselined and trending down
- Same-day fill rate: Open slots from cancellations filled the same day
- Confirmation rate: High percentage of appointments confirmed before the visit
- Recall effectiveness: Overdue hygiene patients re-appointed at target rate
- Hygiene pre-appointment rate: Patients leaving with their next cleaning booked
- Morning huddle prep — review the day's schedule, flag gaps and overbooks
- Daily review of tomorrow's and next week's book; work openings and waitlist
- Weekly check-in with Scheduling Manager on fill rate, no-shows, and recall progress
- End-of-day handoff on unresolved scheduling items
- 1-3 years in dental scheduling, front office, or patient coordination (multi-office dental experience a plus)
- Fluent in dental practice management software (Dentrix, Eaglesoft, Open Dental, Curve, or similar)
- Understands appointment types, procedure codes, and how to schedule for production
- Strong phone and written communication; calm and friendly under a busy book
- Detail-oriented and organized — comfortable juggling multiple offices and providers
- Reliable, punctual, and team-oriented
- LA-based; no visa sponsorship
