Job Summary
We are seeking a dedicated and bilingual Treatment Coordinator / Front Office professional to join our healthcare team. The ideal candidate will possess strong administrative skills, clinical knowledge, and excellent patient service abilities, with fluency in both English and Spanish. In this role, you will serve as the first point of contact for patients, coordinate treatment plans, and support clinical staff by managing administrative tasks efficiently. Your proactive approach and attention to detail will ensure a smooth clinic operation while maintaining compliance with healthcare regulations.
What You'll Do
You are the first person a patient talks to and the person who helps them say yes to the care they need.
Front office
- Answer inbound calls warmly and convert them into booked appointments
- Greet and check in patients, manage the schedule, and fill open chair time
- Verify insurance benefits and collect co-pays
- Confirm appointments, follow up on no-shows, and keep the schedule productive
- Handle text, email, and web leads quickly (same-day response is the standard)
Treatment coordination
- Sit with patients after the doctor's exam and present treatment plans in plain language
- Explain costs, insurance coverage, and out-of-pocket estimates clearly and confidently
- Present financing options (Sunbit, CareCredit & Cherry, and in-house options) and help patients get approved
- Handle common objections — cost, time, fear — without pressure
- Follow up on unscheduled treatment and pending plans until the patient decides
- Track case acceptance and same-day starts
What We're Looking For
Required
- Fluent in Spanish and English — able to explain clinical treatment and money conversations in both
- 3 year in a dental or medical front office, treatment coordination, or patient-facing sales role
- Comfortable talking about money without flinching
- Reliable, on time, and able to stay organized when the front desk gets busy
- Located in the Austin area with dependable transportation
Nice to have
- Open Dental experience
- Experience presenting larger cases (implants, full-arch, cosmetic, aligners)
- Familiarity with CareCredit, Cherry, or similar patient financing
- Any dental assisting or clinical background
