Duties
- Oversee day-to-day office operations, including front desk management, multi-line phone systems, and greeting visitors with professionalism and warmth
- Manage scheduling for meetings, appointments, and events, ensuring calendars are coordinated efficiently across teams
- Supervise administrative staff and coordinate training & development initiatives to enhance team performance
- Handle vendor management by negotiating contracts, processing invoices via QuickBooks, and maintaining positive supplier relationships
- Oversee bookkeeping, payroll processing, budgeting activities, and ensure accurate record-keeping for financial transactions
- Coordinate event planning efforts for company functions, meetings, and community outreach activities
- Maintain organized filing systems—both digital and physical—and ensure compliance with confidentiality standards
- Support human resources functions such as onboarding new employees, managing employee records, and assisting with HR policies
- Ensure office supplies are stocked and equipment is maintained to support seamless daily operations
Qualifications
- Proven experience in office management or administrative roles within a professional environment
- Supervising experience with a demonstrated ability to lead teams effectively
- Proficiency in QuickBooks accounting software and strong bookkeeping skills
- Excellent organizational skills with the ability to manage multiple schedules simultaneously
- Strong communication skills—both verbal and written—with a professional phone etiquette
- Experience in event planning and vendor management to coordinate external partnerships smoothly
- Knowledge of human resources practices including onboarding, payroll processing, and employee relations
- Familiarity with medical office management or healthcare settings is a plus but not required
- Ability to handle clerical tasks such as filing, calendar management, and front desk responsibilities efficiently
