Job Summary
The Medical Receptionist serves as the first point of contact for clients, families, visitors, and referral sources. This role is responsible for providing exceptional customer service, coordinating front-desk operations, managing scheduling, and supporting clinical and administrative workflows. The Medical Receptionist ensures a welcoming, organized, and compassionate environment aligned with the mission of providing high-quality care.

Responsibilities

Front Desk Operations

  • Greet clients, visitors, and vendors warmly and professionally.
  • Check clients in and out for appointments, ensuring all required documentation is completed.
  • Answer and route incoming calls; take accurate messages and return calls promptly.
  • Maintain a clean, organized, and confidential reception area.

Scheduling & Client Coordination

  • Verify demographic and insurance information at every visit.
  • Communicate appointment reminders, cancellations, and follow-up instructions to clients.
  • Assist in coordinating intake appointments and assist new clients with onboarding paperwork.

Insurance & Billing Support

  • Collect copays, deductibles, and outstanding balances in accordance with policy.
  • Verify insurance eligibility and benefits before scheduled appointments.
  • Communicate insurance issues, coverage changes, or required authorizations to clients.
  • Process payments and maintain accurate daily cash logs or electronic payment records.

Administrative & Clinical Support

  • Prepare and distribute client forms, releases, and packets as needed.
  • Scan, upload, and file documents into the electronic health record (EHR).
  • Assist clinical staff with administrative tasks such as retrieving charts, preparing materials, and managing communication with referral sources.
  • Handle incoming and outgoing mail, faxes, and correspondence.

Compliance

  • Maintain confidentiality of all client information in accordance with HIPAA and facility policies.
  • Follow all organizational procedures, safety guidelines, and infection control protocols.
  • Support quality assurance functions by ensuring accurate data entry and documentation.

Qualifications

  • High school diploma or equivalent required; associate degree preferred.
  • At least 1 year of medical office, behavioral health, or healthcare reception experience preferred.
  • Strong interpersonal and communication skills; ability to interact with clients experiencing emotional distress.
  • Proficient with EHR systems, scheduling software, and Microsoft Office Suite.
  • Ability to multitask in a fast-paced outpatient environment.
  • Knowledge of HIPAA regulations and basic medical terminology preferred.

Pay: $21.00 - $23.00 per hour
