We're looking for an energetic, hyper-organized Office Coordinator & Executive Assistant to support our fast-paced team and bring operational magic to life. This is not your average office admin role – this position touches everything from executive support and business development to client service, logistics, and internal coordination.

- Manage and maintain schedules, calendars, and meeting logistics for the executive team
- Proactively follow up on business development activity, outreach, and key relationship touch-points
- Handle personal errands and tasks as needed on behalf of the executives
- Serve as a liaison between executives and internal teams to ensure seamless coordination and follow-through
- Keep executives organized, prepped, and focused by managing their inboxes, tasks, priorities, and deliverables
- Own all office operations and supply management to support operational excellence
- Maintain a clean, stocked, and inviting in-office environment
- Assist with curated gifting and concierge planning for client experiences
- Monitor and update fulfillment touches and member milestones
- Support data imports and QA
- Assist with payment follow-ups using scripts and templates
- Track inventory reports using Sortly
- Manage Amazon Business orders and invoice cycles
- Liaise with vendors and distribution partners for seasonal gift shipments
- Coordinate birthday and work anniversary surprises for employees
- Assist with quarterly gift unveilings and coordinating gift photography
- Help with planning and execution of external marketing and industry events
- Book travel and manage supplies for conferences and trade shows
- Organize prep tasks and talking points for podcast recordings, and manage timely post-production handoff
- Route receipts to accounting channels
- Track invoices through to payment
- Maintain organized documentation for workflows and approvals
- 3 years of real-world experience in administrative, coordination, or operational roles
- Excellent written and verbal communication skills
- High attention to detail, with the ability to juggle shifting priorities
- Familiarity with Google Workspace, Asana, and basic CRM tools
- Friendly, proactive, and quick to jump in wherever needed
