Responsibilities
- Manage day-to-day office operations, including front desk duties, multi-line phone systems, and calendar management for staff and leadership.
- Coordinate and plan company events, meetings, and training sessions to foster team engagement and professional development.
- Supervise administrative staff, providing guidance on clerical tasks, filing systems, and office procedures to ensure high standards of organization.
- Oversee vendor management by negotiating contracts, processing invoices using QuickBooks or similar accounting software, and maintaining strong supplier relationships.
- Handle human resources functions such as onboarding new employees, managing payroll processes, and supporting employee records management.
- Maintain accurate bookkeeping records, assist with budgeting activities, and ensure compliance with office policies.
- Support medical or specialized office management tasks if applicable, including scheduling patient appointments or managing confidential documents.
Requirements
- Proven experience in office management or administrative roles with supervisory responsibilities.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Excellent communication skills—both verbal and written—with professional phone etiquette.
- Experience with event planning, calendar management, and vendor negotiations.
- Proficiency in OpenDental or comparable software; familiarity with reports and patient insurance processing is a plus.
- Knowledge of human resources procedures including onboarding, training & development, and employee recordkeeping.
- Ability to manage multiple projects simultaneously while maintaining attention to detail.
- Previous experience of 5 years in dental office management is required.
