Job description:
Summary/Objective: The Patient Services Associate at our Cleaver Dermatology - Trenton office will work to fulfill two different sets of support roles that will revolve around clinic and non-clinic work days. Support on clinic days will revolve around providing patient intake support in conjunction with our reception staff. Support on non-clinic days will includes, but is not limited to, processing and reporting third party insurance payments. This role will naturally evolve over time as our Trenton clinic grows from a part-time clinic to a full-time clinic.
Clinic Day Essential Functions:
- Uses EMR system to check patients in and out quickly and efficiently
- Process payments for co-pays and uninsured patients using the EMR system
- Effectively utilizes our EMR system to update patient records and create detailed notes as needed to assist other departments such as nursing and billing
- Conducts detailed review of all insurance cards to ensure we have the correct cards in the system and effectively communicates with patients so that patients understand what will be covered
- Checks out patients as they leave ensuring follow-up appointments are scheduled appropriately and recalls are created as necessary
- Answers incoming calls and routes patients to the appropriate party as needed
- Schedules patient appointments using the EMR
- Maintains EMR database by updating all patient information and routinely checks obituaries in local newspapers and changes the patient’s status accordingly
- Scans patient documents into the corresponding patient file
Non-Clinic Day Essential Functions
- Review all relevant portals to account for all electronic payments and post/reconcile payment to relevant DOS for patient
- Submits daily financial batches to account for and report on all payments received
- Serve as primary Point of Contact for all incoming Trenton area phone calls
- Provide secondary call support for overflow patient scheduling and billing office phone calls from the Kirksville office
- Provide in-person support for patients and other location-specific needs on non-clinic days
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Must have the ability to travel independently throughout the practice to access information from other departments. Must have the ability to sit for long periods of time.
Expected Hours of Work
Work schedule will align with standard business hours of Monday through Thursday, 8:00 a.m. to 5 p.m. and Friday, 8:00 a.m. to 1:30 p.m. No weekend work required. Paid days off for company holidays.
Travel
This position will be expected to work in-office at our Trenton location. Travel to clinics in Chillicothe or Brookfield on an occasional basis may be requested as needed. All onboarding and training will be conducted at our Kirksville location for a time period not to exceed three months. All company related travel is reimbursed.
Required Education and Experience
High School Diploma or Equivalent
Preferred Education and Experience
One year or more working in a medical office
