Responsibilities
- Coordinate and schedule interviews across multiple teams and time zones, supporting 2–4 recruiters
- Manage candidate logistics from interview stage through offer and onboarding
- Initiate and support onboarding processes to ensure a smooth new hire experience
- Maintain and update the Applicant Tracking System (ATS) with accuracy and consistency
- Track candidate movement and ensure timely communication and scheduling follow-ups
- Support reporting and data tracking for the Talent Acquisition team
- Partner with recruiters, hiring managers, and HR to keep hiring processes organized and on track
- Assist with coordination of hiring events and university recruiting logistics
- Handle a variety of administrative and operational tasks that support the TA team
- Highly organized with strong attention to detail and ability to manage multiple priorities
- Strong scheduling and coordination skills (calendars, logistics, timelines)
- Comfortable working in systems and maintaining accurate data
- Proficient in Excel and Microsoft Office
- Clear and professional written and verbal communication
- Strong problem-solving skills and ability to adapt in a fast-paced environment
- Ability to manage repetitive processes with consistency and accuracy
- 1–3 years of experience in coordination, scheduling, operations, or administrative support roles
- Experience managing complex calendars or scheduling across multiple stakeholders
- Experience working in systems (ATS, HR systems, or similar tools)
- Workday experience preferred but not required
