Join a high-impact federal operations team supporting mission-critical energy and infrastructure functions. The Secretary II provides comprehensive administrative and operational support to the Western Area Power Administration (WAPA).

This role is responsible for providing day-to-day administrative and office support to ensure efficient operations. Responsibilities include coordinating schedules, meetings, and government travel, as well as completing travel authorizations and vouchers. This position also assists with correspondence, records, reports, and other administrative needs as they arise.

Key Responsibilities

  • Independently performs recurring administrative and office procedures, using appropriate guidelines based on the situation.
  • Responds to and screens telephone calls, visitors, correspondence, and routine information requests.
  • Manages incoming and outgoing mail and correspondence and ensures timely responses.
  • Maintains supervisor calendars, schedules appointments, and coordinates meetings, conferences, and meeting rooms.
  • Prepares and assembles necessary materials and background information for meetings and conferences.
  • Reviews documents and outgoing correspondence for accuracy, proper formatting, consistency, grammar, and typographical errors.
  • Prepares and maintains recurring internal reports, records, and office files.
  • Collects information from files and staff to respond to routine inquiries and assist with periodic reports.
  • Coordinates official government travel, including booking GOVs and making necessary travel arrangements.
  • Prepares and processes travel authorizations and travel vouchers, ensuring required information and documentation are complete and accurate.
  • Orders office supplies and coordinates printing, maintenance, and other office services.
  • Communicates office procedures and supervisor requirements to staff.
  • Handles varying administrative situations, problems, and procedural deviations using appropriate judgment.
  • Provides general administrative and clerical support as needed.
  • Ability to work independently and in coordination with a team.
  • Educate customers proactively about available services and resources.
  • Provide attentive and supportive assistance to internal and external customers.

Qualifications

Required

• High School Diploma or equivalent (GED); Associate’s or Bachelor’s degree preferred

• 2–4 years of relevant administrative or clerical experience

• Strong organizational skills with exceptional attention to detail

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)

• Ability to manage multiple tasks and prioritize effectively

• Strong written and verbal communication skills

Preferred

• Associate degree in Business Administration, Office Management, Engineering Technology, or related field preferred

• Experience supporting WAPA, DOE, or similar federal agencies

• Familiarity with Concur, ATAAPS, SharePoint, or similar systems

• Experience with records management and document control processes

• Knowledge of federal security and compliance environments

Security Clearance Requirement

• U.S. Citizenship required

• Ability to obtain and maintain a federal security clearance (Secret / Top Secret / Public Trust)

• Employment is contingent upon successful background investigation and PIV card issuance
