Facilitate the efficient operation of the Galveston-Brazoria Cooperative for the Deaf and Hard of Hearing by providing the Director with clerical support. Actively engage in actions that contribute to the overall mission and strategic plan of Clear Creek ISD.
Qualifications
Education/Certification/Licensure
High school diploma or GED
Special Knowledge/Skills
Effective communication and interpersonal skills
Proficient word processing and computer skills
Strong organizational and file maintenance skills
Knowledge of general office practices and procedures
Competent math and some bookkeeping skills
Experience
Minimum of 3 years as a Administrative Assistant, preferably in special education
Major Responsibilities and Duties
- Prioritize, prepare, and disperse correspondence for director; dispense information by phone to public, prospective employees, other RDSPD programs, member school districts, teachers, and parents.
- Maintain files for fiscal records, policies, procedures, personnel, and all GBCDHH operation.
- Maintain books for federal/state funding sources and local fund, and reconcile GBCDHH accounts.
- Prepare all GBCDHH forms, curriculum documents, staff handbooks, guidelines, and procedures, etc.
- Inventory project needs, order and receive all GBCDHH consumable supplies, teaching supplies, textbook orders, and equipment
- Perform varied word processing tasks in the preparation of correspondence, forms, curriculum documents, attendance records, PEIMS, and procedures, etc.
- Contact substitutes for teachers as needed
- Contact itinerant campuses and transportation departments of member school districts for student addresses and school locations, and contact member school districts school for calendar changes and VAC work schedules.
- Prepare work orders, purchase orders, and billing for purchase and contracted services.
- Schedule interpreters for extra-curricular and off-campus interpreting needs; prepare billing for district reimbursement.
- Maintain weekly paraprofessional overtime logs and prepare payment for overtime.
- Exercise good telephone etiquette; take reliable messages and route to appropriate staff.
- Serve as records management for GBCDHH.
- Register and reimburse for workshop fee, mileage, food and hotel staff for workshops and conferences.
- Take minutes for special education directors’ meetings on an as-needed basis.
