Clayton Services is searching for a Service Administrator to join a thriving company in North Houston. The Service Administrator will be responsible for supporting the service department by dispatching service crews to chemical plants and refineries, managing billing processes, and ensuring smooth coordination between clients, technicians, and the Service Manager.
Job Type: Temp-to-Hire
Pay Rate: $22.00-$26.00/hour

Service Administrator Responsibilities:
- Dispatch service crews to chemical plants and refineries, ensuring proper scheduling and compliance with site requirements
- Manage billing for assigned customer accounts, ensuring invoices are accurate and submitted on time
- Collect and verify technician time, assign work order numbers, and allocate time appropriately
- Communicate with technicians daily to review assignments, gather completed work tickets, and resolve scheduling conflicts
- Prepare and reconcile bi-weekly technician timesheets for payroll processing
- Provide backup support for service administration in billing accounts and customer documentation
- Assist with customer service, addressing client needs and coordinating service-related inquiries
- Maintain accurate service records and documentation in line with company and industry standards
- Execute daily assignments from the Service Manager and support additional administrative and operational tasks as needed
Service Administrator Skills and Abilities:
- Strong organizational and multitasking skills with excellent attention to detail
- Effective communication skills for interacting with technicians, clients, and management
- Outstanding interpersonal abilities with a customer service focus
- Ability to prioritize, analyze, and solve problems in a fast-paced environment
- Proficiency with Microsoft Office Suite, scheduling software, or related service management tools
- Microsoft Excel proficiency
Service Administrator Education and Experience:
- High school diploma or equivalent required; additional technical or business coursework is preferred
- Minimum of 5 years of experience in service administration or dispatching within industrial HVAC, mechanical, or related service industries
- Experience dispatching service crews to chemical plants and refineries is required.
