What are the responsibilities and job description for the POLICE DIGITAL RECORDS CUSTODIAN - POLICE position at Clayton County Government?
PURPOSE OF CLASSIFICATION
The purpose of this classification is to establish a police digital records custodian for E-911 records and CAD data, body camera and dash cam recording and all similar digital media in the custody of the Police Department. The position will respond to Open Records Act requests from the public and timely provide requested records that are not exempted by Georgia law. The positon will also receive and respond to subpoenas and civil notices for production of police records. The position will coordinate all responses for digital media with the Police Records Custodian.
ESSENTIAL FUNCTIONS
The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.
Receive and timely respond to requests for digital media under the Georgia Open Records Act, pursuant to law
Receive and timely respond to requests copies of digital media by subpoena, request for production of documents in civil cases, or court order.
Certify the produced copies of media and documents as to authenticity, pursuant to Georgia’s evidence laws.
Coordinate with the Department’s Police Records Custodian to record receipt and timely response to requests.
Serve as Records Custodian for all CAD and recorded radio and E-911 data produced by the E-911 Communications Center.
Answers telephone, email and in-person requests for data. Operates a personal computer, general office equipment, or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, desktop publishing, email, Internet, or other computer programs; performs basic maintenance of computer system and office equipment, such as backing up data or replacing paper or toner.
Provide backup for the Police Records Custodian.
Assists the Records Unit commander as needed to provide for the proper functioning of the Records Unit.
Police Digital Records Custodian (Part-Time)
ADDITIONAL FUNCTIONS
Performs clerical support tasks, which may include making copies, sending/receiving faxes, locating telephone numbers and addresses, researching and contacting business/residence callouts, tracking court dates, or contacting magistrate court/judge as needed; performs housekeeping tasks.
Provides backup/substitute coverage for co-workers.
Performs other related duties as required.
MINIMUM QUALIFICATIONS
Must be at least 18 years of age. High school diploma or GED; supplemented by vocational/technical training in data base entry, operation of office machines to include a personal computer, ability to work under pressure handling sensitive data, and at least one (1) year previous experience and/or training involving operation of personal computers; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
ADA COMPLIANCE
Physical Ability: Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station.
Sensory Requirements: Some tasks require the ability to perceive and discriminate sounds and visual cues or signals. Some tasks require the ability to communicate daily.
Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.
NOTICE: This is part time position subject to the needs of the Police Department and availability of funding and is limited to no more than 25 hours per week.
