Job Summary
We are seeking a professional, friendly, and highly organized Receptionist to join our team. As the first point of contact for visitors and callers, the ideal candidate will deliver exceptional customer service while supporting a wide range of administrative and office management tasks. Strong communication skills, proficiency with office software, and the ability to multitask efficiently are essential, but not required. This role is key to maintaining a welcoming atmosphere and ensuring smooth daily operations within our office.
Responsibilities
- Greet visitors and clients warmly, creating a positive first impression
- Manage a multi-line phone system, directing calls and taking accurate messages as needed
- Perform front desk duties including scheduling appointments, coordinating meetings, and managing calendars
- Handle data entry, filing, and record keeping using Microsoft Office, Google Workspace, and other office tools
- Assist with general office management tasks such as ordering supplies, organizing files, and proofreading documents
- Provide professional customer support both in person and over the phone
- Maintain an organized, clean, and productive office environment
- Demonstrate excellent phone etiquette, attention to detail, and strong organizational skills to support daily operations
Experience
- Prior office management or administrative experience preferred but not required
- Experience with front desk operations, multi-line phone systems, and data entry
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar) desired but not required
- Familiarity with clerical tasks such as filing, proofreading, and maintaining records is highly desirable
- Customer service or customer support experience preferred
- Experience as a personal assistant or in roles involving calendar and task management is a plus
