Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. Bilingual skills in English and Spanish are required, as the position may require assisting diverse clients and staff. Duties
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite and other office management software for various administrative tasks
- Schedule appointments
- Handle bookkeeping tasks using QuickBooks or similar accounting software
- Support customer service efforts by addressing inquiries promptly and professionally
- Provide clerical support including typing, document preparation, and record keeping
- Maintain excellent phone etiquette when communicating with clients, vendors, and team members
- Support personal assistant tasks as needed to facilitate executive or team member needs
Qualifications
- Proven experience in office administration, clerical work, or related roles
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel) and data entry skills
- Familiarity with QuickBooks, bookkeeping, and office management software preferred
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional communication skills both written and verbal; bilingual abilities in English and Spanish are required
- Demonstrated customer service experience with professional phone etiquette
- Ability to manage time efficiently and prioritize tasks effectively
- Previous experience with auto insurance claim creation and management is desirable but not required
Requirements
- Willing to work Monday-Friday 8am-5pm. Saturday's may be needed from 9am-1pm
- Valid driver's license and work authorization documentation to work in the US
- At least 3 years of valid administrative assistant work experience
- Candidates must have a strong track record of consistent, reliable attendance and punctuality
