Job Summary

Duties
- Manage daily office operations, including front desk responsibilities, multi-line phone systems, and greeting visitors with professionalism and courtesy
- Oversee calendar management and schedule appointments, meetings, and events to optimize team productivity
- Coordinate event planning activities such as meetings, staff trainings, and company functions to ensure seamless execution
- Supervise administrative staff and support team management efforts through training, development, and performance oversight
- Handle vendor management by sourcing supplies, negotiating contracts, and maintaining positive supplier relationships
- Maintain accurate bookkeeping records using QuickBooks or similar accounting software; oversee payroll processing and human resources functions
- Organize filing systems, manage document retention, and ensure confidentiality of sensitive information
- Assist with budgeting processes by tracking expenses and preparing financial reports as needed
- Support medical office management tasks where applicable, including appointment scheduling and patient record organization
- Ensure excellent communication through phone etiquette, clear written correspondence, and effective internal messaging
Experience
- Proven experience in office management or administrative roles with a strong background in clerical duties and organizational tasks
- Supervising experience demonstrating leadership skills in managing teams or administrative personnel
- Familiarity with QuickBooks or comparable bookkeeping/accounting software for financial management tasks
- Experience in event planning, vendor management, and schedule coordination to support organizational needs
- Knowledge of human resources functions such as payroll processing, employee onboarding, and training & development initiatives
- Prior work in medical office management or healthcare environments is a plus but not required
- Strong communication skills combined with excellent organizational abilities to handle multiple priorities efficiently
- Demonstrated proficiency with multi-line phone systems, calendar management tools, filing systems, and office technology
