Career & Technical (CTE) Secretary

 

Job Title: Career & Technical (CTE) Secretary                  Reports to:    Building Principal                

 

Bargaining Group: Non-Represented      FLSA Status: Non-Exempt    Location:     Clarkston High School

 

Terms of Employment:  198 12 holidays / 7 hours per day

                                               

QUALIFICATIONS:

Education/Certification:

High school diploma or GED (AA or B.S. preferred)

 

Experience:

Secretarial experience, preferably in public education environment

 

Knowledge/Skills:

  • Communicate in a professional manner effectively, both oral and written
  • Work cooperatively and exercise good judgement with staff, students, program specific companies, district administration, and the community
  • Knowledge of general program policies, procedures, and systems.
  • Proficient knowledge of various software to include: MS Office (Outlook, Word, Excel, PowerPoint, and Publisher ), as well as internet navigation
  • Ability to learn job-related software programs such as EDS, iGrants, & Skyward
  • Skillset in operating general office equipment such as:
    • Personal Computer (Apple products are helpful)
    • Printer
    • Copier
    • Fax
    • Calculator
    • Telephone system
  • Work independently with minimal supervision, prioritizing duties and effectively managing time
  • Demonstrate ability to work in a fast-paced, results-oriented, team environment
  • Demonstrate competent knowledge of English usage, grammar, spelling, and punctuation.
  • Previous experience working with budgets and general accounting skills
  • Ability to take initiative, follow-through on requests until completion, and utilize a keen attention to detail
  • Audit experience
  • Accurate record keeping for program review and annual audit purposes.
  • Honor and maintain confidentiality
  • Ability to remain flexible to changes in work assignments or situations
  • Ability to establish and maintain positive professional working relationships
  • Familiarity with grant writing
  • Detail-oriented 

Essential Responsibilities and Duties:

  • Serve as program liaison between staff, building principal, CTE Director, and OSPI
  • Communicate in a professional manner
  • Maintain general correspondence and program specific records
  • Collaborate with Human Resources, CTE staff, and OSPI around certification requirements
  • Prepare and monitor State and Federal compliance reports
  • Support corresponding with advisory committees by being the liaison between staff and committees
  • Submit accurate monthly CTE counts to district enrollment coordinator according to deadlines
  • Attend regional and state CTE conferences and trainings as needed.
  • Continually network with OSPI
  • Gather requested information for CTE Director and Building Principal to assist in their efforts to expand and improve CTE programs
  • Support CTE staff in continual framework preparation
  • Organize meetings and coordinate staff calendars
  • Collaborate with local colleges to prepare and finalize articulation agreements
  • Enter Completer & Tech Prep Completer data information in Skyward
  • Accurate record keeping for Consolidated Program Review and annual audit purposes
  • Create, Maintain & Organize 504 paperwork to prepare for parental meetings; counselors will run the meeting
  • Maintain & Organize paperwork for social security forms, car insurance forms, employment verification forms, etc.…
  • Communicate & Plan visits for military services to connect to students
  • Maintain assessment paperwork to include PSAT, AP, ASVAB and state assessments
  • Plan and Set up for assessments to include PSAT, AP, ASVAB and state assessments
  • Other duties as assigned

None.

Personal computer, printer, copier, fax, calculator

 

Working Conditions:

Office environment; secretarial duties require dexterity and precision. Experiences frequent interruptions. May be exposed to infectious diseases carried by children. May be required to deal with angry or upset individuals.
