Introduction:

The position of the Administrative Assistant is an essential ministry of the Clarks Green/Clarks Summit Parish. This position’s responsibility is to properly portray our mission statement either by phone or in-person with our congregation, visitors, and contractors. The duties and responsibilities contribute to the overall vitality of the church by overseeing the church’s official communication within and outside of the congregation, maintaining the information necessary to maintain the church administration, and supporting the work of the office of pastor.

General Information:

  • Working Period: 16 hours per week (varies, as needed)
  • Salary: Rate of $17/hour with merit based increase possibilities at annual review by charge SPRC
  • Accountability: Accountable to the Leadership teams and Pastor.
  • Clearances: Must have PA Child Abuse History Clearance, PA State Police Criminal Record Check, FBI Criminal Background Check and Safe Sanctuaries Training, and subject to Credit Check

Description of Position and Qualifications:

  • This is a shared position within Clarks Green and Clarks Summit Churches. Time spent in both offices working is an expectation to best care for each church’s needs. Time spent in each church is flexible based on the needs of the week or season of ministry.
  • Serve as the Church Administrative Assistant and promote a positive image
  • Provide a welcoming environment, greet people with the utmost courtesy, present himself/herself with a professional appearance and maintain the strictest confidentiality
  • Assist the Pastor in the administration of the church
  • work cooperatively with Pastor and other staff members (i.e. Choir Director, Organists, etc.)
  • Manage the church office and the office workflow
  • Proficient in Microsoft Office 360 and Google Suite
  • Experience with QuickBooks (preferred) and Church Management Software
  • Possess the ability to follow through with details and meet deadlines while working independently
  • Provide the secretarial services necessary to enhance the quality of life and ministry of the congregation
  • Represent and interact with the congregation with strong verbal and written communication skills
  • Follow employee policies as included in the Personnel Manual.

Responsibilities:

Job responsibilities include but are not limited to the following:

Administrative:

  • General secretarial duties and office management
  • Preparing both weekly Worship Service bulletins, special service bulletins and other inserts as directed by the Pastor
  • Prepare all projected media for weekly worship services
  • Maintains both church calendar and building usage requests
  • Coordinates membership care through record keeping; monitors membership information (for example, changes of address, changes of last names, baptisms, weddings, death, transfers, etc.) as required by the Discipline
  • Coordinates with Pastor on congregational needs
  • Compiles information for Church and Conference reports

Financial:

  • Maintain the strictest confidentiality
  • Receive all funds coming into the church and record into appropriate accounts.
  • Secure two counters to be responsible to count and deposit the money received.
  • Prepare funds for special events and keep appropriate records.
  • Record all money received by both churches through church offerings/envelopes/EFT/Tithely and recordusing appropriate electronic accounting programs
  • Prepare and send annual statements for all identified givers.
  • Submit requested reports to the Leadership Team

Benefits:

The position shall have 2 weeks (32 hours) of paid time off per calendar year.

Job Evaluations:

The Administrative Assistantwill be evaluated after at 30-60-90-day probationary period by a representative of the charge SPRC and thereafter on an annual basis.

Note: Any changes to this job description will be in written form and signed by both the staff member and the Charge SPRC.

Pay: From $17.00 per hour

Expected hours: 16 per week
