HVAC Project Administrator

Job Opportunity: HVAC Project Administrator with ElitAire – Columbus, OH

As a HVAC Project Administrator at ElitAire, you will provide critical support to the Project Management team by initiating and monitoring all project activities including schedules, spending, material acquisition and delivery, and ensuring timely and quality completion of assigned construction projects. You will prepare external and internal reports relating to job status, daily progress, estimates, and deliverables. You will communicate with all stakeholders to ensure projects are completed on time and exceed our customers' requirements.

Other responsibilities include:

• Support the Project Managers and the outside sales team in planning, coordinating, and executing MEP/HVAC construction projects from inception to completion.
• Assist in creating detailed project schedules, ensuring that timelines are met, tracking shipments, deliveries and administrative deliverables.
• Coordinate with engineering teams, contractors and owners seamless project execution.
• Monitor project progress and update stakeholders regularly on milestones and potential risks.
• Assist in managing project budgets and track expenses, ensuring cost-effectiveness.
• Participate in project meetings and provide valuable input to resolve issues and improve project efficiency.
• Collaborate with the service / start up team to achievable successful commissioning and completion of the construction project.
  
  

The ideal candidate will be a self-starter with the ability to solve problems and make decisions without close supervision. They must be self-motivated, accurate, efficient, and capable of responding to customer needs.

Additionally, this candidate will have:

• Associate degree and 5 years of experience; preferred.
• Prior experience in MEP/HVAC/Plumbing construction projects is highly desirable.
• Previous project management and/or technical administrative assistant experience.
• Proficiency in working and Microsoft Office Suite; including Excel, Adobe or Blue Beam.
• Excellent organizational and time-management skills, with the ability to handle multiple tasks simultaneously.
• Effective communication skills to interact with team members, clients, and stakeholders.
• Problem-solving mindset and the ability to adapt to changing project requirements.
• Familiarity with AutoCAD, BIM, or other relevant software is a plus.
• Project management certifications (e.g., PMP) are preferred; not required.
