Position Summary
The Purchasing & Sourcing Specialist supports project and shop operations by sourcing materials and hardware, issuing purchase orders, coordinating vendor communication, tracking deliveries, supporting inventory levels, and ensuring accurate receiving.
This role works closely with Project Managers, Production Managers, Shop Personnel, Estimating, and Accounts Payable.
This role operates in a fast-paced, production-driven environment with shifting priorities and multiple active projects. Success in this position requires the ability to manage changing demands, stay organized, and respond quickly to operational needs.
Key Responsibilities
Purchasing & Order Processing
- Create purchase orders from bills of materials, requisitions, quotes, and project direction
- Submit purchase orders and confirm pricing, acknowledgments, and lead times
- Place and track online orders
- Follow up on open POs to maintain schedules
- Maintain accurate purchasing records (POs, invoices, delivery dates)
- Use PDF tools to archive purchasing documentation
Vendor Communication & Coordination
- Communicate with vendors regarding availability, substitutions, lead times, and shipping
- Maintain organized vendor records
- Coordinate returns and credits
- Arrange UPS/FedEx shipments and freight pickups
Receiving & Inventory Support
- Receive materials using the INNERGY system
- Verify deliveries against packing slips
- Ensure proper labeling and storage of materials
- Maintain par levels of shop and office stock items
- Enter receipts and update pricing in inventory system
Payments, Invoices & Administrative Support
- Organize invoices and documentation for Accounts Payable
- Assist with credit card and phone payments
- Mail deposit checks and vendor-required packages
Shop Support & Time-Sensitive Purchasing
- Source and coordinate quick-turn materials
- Make occasional local supplier pickups (Lowe’s, specialty vendors, etc.)
- Support sourcing for machinery repairs and building maintenance
Estimating & Project Support
- Provide updated pricing and lead times
- Source alternate products when needed
- Assist with project documentation (LEED/FSC a plus)
Qualifications (Required)
- 1 year experience in purchasing, procurement, or inventory in millwork
- Purchasing experience in the millwork industry
- Highly organized with strong time management skills
- Detail-oriented with excellent follow-through
- Clear and professional written and verbal communication skills
- Strong proficiency in Microsoft Excel
- Comfortable working with purchase orders, invoices, vendor quotes, and delivery documentation
- Proficient with computers, email, and internet-based tools
- Basic math and accounting competency
- Ability to work in a manufacturing and shop environment
- Willingness to learn CLM systems (INNERGY experience is a plus)
- Proactive, dependable, team-oriented mindset
- Valid driver’s license
Preferred / Desirable
- Experience with INNERGY or similar purchasing/inventory systems
- Familiarity with LEED, FSC, DC Green, or related project documentation
- Forklift experience or ability to operate a forklift
Physical Requirements
- Ability to lift up to 50 lbs
- Ability to sit, stand, and move throughout office and shop environments
- Must be able to read, write, and communicate effectively in English
Work Environment
- Combination of office and active manufacturing/shop environment
- Exposure to shop noise and dust
- Frequent walking through warehouse and production areas
