EVENT MANAGER
CLARK COUNTY EVENT CENTER
JOB PURPOSE AND SUMMARY
Under the direction of and reporting to the Director of Events and CEO/Fair Manager, the Event Manager is an at-will, non-exempt position responsible for contracting and coordinating all assigned events at the Clark County Event Center, including:
- Responsible for sales and booking of assigned events at Clark County Event Center facilities.
- Planning events to include budgeting, scheduling, site selection.
- Ensuring the fulfillment of all assigned event contracts and meeting customer needs.
- Coordination of all logistics, services, resources, and staff as it relates to assigned event needs at the Clark County Event Center.
- Development and implementation of operational strategy for each assigned event.
- Ensuring the preparation of cost estimates, settlements, and analysis for assigned events.
- Maintain an exemplary level of customer service to event organizers, customers, staff and guests.
- Acting as management liaison to assigned event organizers.
- Provide administrative and clerical support for the event department.
KEY OR TYPICAL TASKS AND RESPONSIBILITIES
- Work with prospective event organizers over the phone, via email and in person to provide venue information and identify event needs.
- Conduct facility tours with prospective clients and be knowledgeable of the facility parameters, costs, limitations, and availability.
- Prepare cost estimates for review by Director of Events before providing to event organizers. Additionally, provide accumulative data to establish benchmarks and reference points for comparison from previous events, dates, and timeframes.
- Prepare draft contracts for review by Director of Events prior to presentation to clients. Include all variances for approval by CEO.
- Track the payments and required documents from each event organizer. Assist with the settling of accounts with event organizers at the conclusion of events.
- Maintain contract files and accurate records and file necessary forms and paperwork.
- Identify event set-up requirements and staffing levels. Disseminate details and information to all relevant services and staff regarding the requirements of each event.
- Create and distribute a comprehensive Event Service Order (ESO) and Event Staffing Order for assigned events.
- Act as the onsite manager during assigned events.
- Develop and maintain positive public relations.
- Carry out Fair-related projects and assignments as required.
- Participate in meetings as needed with Clark County, FSMG, Clark County Fair Association, and others.
- Perform other duties as required.
MINIMUM REQUIREMENTS
- Associate’s degree or higher education desired or equivalent experience.
- Demonstrated event management experience and skill for event logistics, budget, managing personnel, and customer service.
- Excellent interpersonal and communication skills with proven record working with a wide variety of people in different situations.
- Excellent organizational skills working with many different projects at once.
- Able to work a rotating work schedule that includes weekends, and to adjust this schedule, work extended hours, evenings, weekends, and holidays to match event schedules and needs.
- During the Clark County Fair, maintain the ability to work extended hours and weekends.
- Must be comfortable organizing and speaking to groups.
- Ability to recognize and define problems, collect data, establish facts, and draw valid conclusions.
- Ability to work independently with minimal direct supervision.
- Ability to handle frequent interruptions and adapt to changes in workload and work schedule.
- Ability to set priorities, make critical decisions and respond quickly to requests.
- Ability to read, analyze and interpret an extensive variety of instructions.
- Ability to compose professional business emails and correspondence.
- Ability to effectively present information and respond to questions from groups, clients, customers, and the public in a professional manner.
- Computer literate with standard professional programs (Microsoft Word, Excel, and Outlook).
- Possession of a valid driver’s license.
WORK ENVIRONMENT AND PHYSICAL DEMANDS
Work is performed primarily in an office setting at the Fairgrounds Administration building throughout the year except during events and the run of the annual Clark County Fair, load-in and load out, where duties are performed primarily outdoors. Occasional business outside of the region, including out of state travel for conventions, are requirements of the position. During the Fair, must be able to work nights and weekends.
This position requires the ability to perform those activities to complete the essential functions of the job, either with or without reasonable accommodation. The position requires continuous and/or frequent talking, repetitive motions of hand/wrist, hearing, and handling. Mental activities are required by the employee in this position include decision making, interpersonal skills, supervisory skills, teamwork, creativity, customer service, mentoring, use of discretion, presentations/teaching, problem analysis, negotiation, and the ability to perform math and to read, write, speak and understand English. Required physical activities can include frequent keyboard fingering, talking, repetitive motions of hands and wrists, sitting, hearing and lifting, pushing, pulling, and carrying objects up to 50 pounds.
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus. While performing the duties of this job, the employee is occasionally exposed to risk of electrical shock. The noise level in the work environment varies and may be loud during certain events.
