Assistant Project Manager / Project Controls Specialist

We’re partnering with a leading oil and gas company on a major training transformation initiative, and our learning team is expanding.

We’re seeking an Assistant Project Manager / Project Controls Specialist who can support project administration while also contributing to resource tracking, scheduling, and budget oversight. In this role, you will support the Project Manager with day-to-day coordination, documentation, and reporting while also helping monitor resources, timelines, and budgets across multiple workstreams. You will maintain project records, support communication across teams, and provide data-driven insights that help keep schedules and deliverables on track.

The ideal consultant is detail-oriented, analytical, and comfortable managing both administrative tasks and project control activities.

Key Responsibilities:

• Maintain project documentation, schedules, burndown charts, and resource plans.
• Aggregate and validate timesheets, track budgets, and support invoice preparation.
• Prepare and distribute progress reports and dashboards.
• Support meeting facilitation, take minutes, and coordinate project communication.
• Collaborate with project managers to forecast and adjust resource needs based on evolving priorities.
• Monitor timelines, identify risks or variances, and provide recommendations to support project goals.

Start Date: Early December

Duration: 1 year with the potential to extend

Hours: 20 hours per week to start with a likely increase to 40 hours per week during 2026

Location: Virtual

Experience Required:

• Background in project administration, project controls, or a similar role.
• Proficiency in MS 365, including advanced Excel and SharePoint skills.
• Extensive experience in project management tools like MS Project, Primavera P6, Smartsheet, Asana, Monday.com, etc.
• Experience with resource allocation, budget tracking, and scheduling.
• Bachelor’s degree in project management, business administration, education, or a related field.
• Familiarity with technical content or industry-specific environments; experience in oil and gas is a plus.
• PMP certification is a bonus.
• Ability to work exclusively on a PC throughout the project.
• Strong organizational skills with exceptional attention to detail.
• Ability to manage data, build accurate reports, and support multiple workstreams.
• Effective communication and teamwork across cross-functional groups.
• Strong analytical and problem-solving abilities.

The pay range for this is $50.00 to $60.00 per hour W2. Individual pay is determined by a number of factors, including but not limited to skill set, depth of experience, relevant education, certifications and specific work location.
