Pay And Benefits

Hourly Pay Range: $24.145530 - $30.506877

Salary offers will be made within the posted pay range and will be based on a candidate's experience (paid or unpaid) that is directly relevant to the position.

Generous Paid Time Off Package, Including

  • 12 hours of vacation accrued per month
    • Eligible newly hired employees will have the one-time option to frontload their first year of vacation accruals in compliance with EPP 66 - Vacation Leave ! This means you have access to vacation time at time of hire.

JOB DETAILS AND QUALIFICATIONS

Clackamas County's Health Centers Division is looking for an Office Specialist 2 to join our team at the Beavercreek Clinic!

This position will be in the front office, and serves as the first point of contact for patients and visitors, providing exceptional customer service and administrative support in a healthcare setting. This role is responsible for patient check-in, insurance verification, document processing, and coordination with clinical staff, while maintaining accuracy and professionalism in a fast-paced environment.

A successful candidate in this role will be highly organized and personable who excels in providing front-line support in a healthcare setting. You will be the welcoming face of the clinic, professionally greeting patients in person and over the phone, efficiently verifying insurance information, and managing the check-in process with accuracy and care.

The Office Specialist 2 should demonstrate strong communication skills, engaging patients about their insurance coverage and seamlessly coordinating referrals and patient care. This role also requires someone who can confidently operate and troubleshoot a variety of office equipment, resolve routine technical issues using manuals, and liaise with vendors for service or maintenance needs.

Required Minimum Qualifications/ Transferrable Skills:*

  • Minimum of two (2) years of relevant experience in a healthcare front office or administrative support role that would provide the required knowledge and skills to perform the duties of the job.
  • At least one (1) year of customer service experience
  • At least one (1) year of data entry experience
  • Work experience handling a high volume of calls and greeting walk-in visitors
  • Experience working at a front desk
  • Proficiency with Microsoft Suite (Word, Excel, Outlook, Teams)
  • Exceptional organizational skills
  • Strong interpersonal, communication, and organizational skills.
  • Ability to maintain confidentiality and work with sensitive information.
  • Detail-oriented with strong problem-solving skills and the ability to work independently.

Preferred Special Qualifications/ Transferrable Skills:*

  • Experience working in a health care clinic.
  • Proficiency in electronic medical records systems (e.g., Epic, Anasazi, Dentrix)
  • Bilingual fluency

TYPICAL TASKS

  • Greet patients in person or over the phone, verify insurance status, and complete check-in procedures for scheduled appointments. Assist patients with insurance inquiries and refer uninsured individuals to Oregon Health Plan staff if they may qualify for coverage.
  • Review and process complex documentation including legal forms, formal records, and official paperwork. Ensure accuracy and completeness of all submissions, correcting errors as necessary. Generate reports using systems such as Epic, Anasazi, and Dentrix as needed.
  • Handle incoming inquiries by phone or in person; provide accurate and detailed information by interpreting office policies and procedures. Direct patients and visitors to the appropriate departments or staff members. Maintain communication with clinical staff using telephone encounters and messaging systems within the electronic medical record.
  • Operate and troubleshoot a range of office equipment including transcription machines, data entry devices, and other complex machinery. Act as a liaison with service and vendor representatives to resolve equipment issues. Refer to technical manuals to independently resolve routine operational problems.
  • Prepare and type sensitive or technical correspondence, including financial and confidential documents, from written or verbal instructions for data entry or official use.
  • Other duties as assigned.

WORK SCHEDULE

This position works 40 hours during a standard workweek of Monday through Friday. Specific hours of work will be discussed with the candidate selected for this position at the time an offer of employment is extended.

This position is designated as on-site/in-person. It is expected that the selected candidate will perform duties at the specified on-site work location.
