We are a professional land surveying and mapping firm serving public and private sector clients throughout Southern California. Our team provides boundary surveys, topographic surveys, construction staking, ALTA surveys, utility mapping, and other surveying services supporting infrastructure, development, and public works projects.
As our company continues to grow, we are looking for a Project Coordinator who can help manage project administration, compliance requirements, billing support, and contract coordination while working closely with project managers and company leadership.
Position Summary
The Project Coordinator plays a critical role in supporting project execution and administrative operations. This position is responsible for contract administration, project billing support, compliance tracking, proposal and certification documentation, and coordination of project-related requirements for both public and private sector projects.
This role is ideal for someone with experience in the Architecture, Engineering, Construction (AEC), surveying, or government contracting industries who enjoys working in a fast-paced environment and takes pride in keeping projects organized and compliant.
Responsibilities
Contract & Project Coordination
• Coordinate project contracts, amendments, and supporting documentation
• Track contract requirements, deadlines, and deliverables
• Maintain project files and documentation
• Assist project managers with administrative project support
Billing & Project Accounting Support
• Coordinate project billing and invoice preparation
• Review project timekeeping for accuracy and proper project charging
• Support monthly invoicing processes
• Work with accounting staff to resolve billing issues
Compliance & Documentation
• Prepare and manage Certificates of Insurance (COIs)
• Coordinate project-specific compliance requirements
• Track and maintain project certifications and forms
• Assist with DBE compliance and reporting requirements
• Monitor local hire goals, apprentice goals, targeted worker requirements, and other project-specific compliance obligations
• Assist in the preparation of Personnel Request Forms (PRF’s)
Proposal & Pre-Bid Support
• Prepare and coordinate SF330 forms
• Assemble pre-bid packets and supporting materials
• Support proposal submissions and qualifications packages
Administrative Support
• Maintain project records and databases
• Coordinate with clients, subcontractors, and vendors as needed
• Support internal reporting and operational processes
• Assist with special projects and administrative initiatives
Qualifications
Required
• Minimum 2 years of relevant experience in project coordination, project administration, contract administration, accounting support, or compliance administration
• Strong organizational and time-management skills
• Excellent written and verbal communication skills
• High attention to detail and accuracy
• Proficiency with Microsoft Office Suite, particularly Excel and Word
• Ability to manage multiple deadlines and priorities simultaneously
Preferred
• 5 years of experience in an Architecture, Engineering, Construction (AEC), surveying, or government contracting environment
• Experience with project billing and invoicing
• Experience with public agency contracts and compliance requirements
• Experience preparing SF330s and other proposal documentation
• Experience with DBE compliance reporting
• Experience with prevailing wage projects and certified payroll requirements
• Experience with government-sector billing
• Experience using Deltek Ajera project management/accounting software
• Familiarity with land surveying, engineering, or construction operations

Compensation & Benefits
• Hourly Pay: $30-$35/hour (2-5 years experience) | $35-$45/hour (5 years experience)
• 401(k): 4% company match
