Civil Clothing Inc. is seeking a detail-oriented Routing & Logistics Coordinator to support our growing Private Label division. This role plays a critical part in ensuring shipments are delivered accurately, on time, and in full compliance with retailer requirements.
You'll serve as the bridge between our customers, warehouse, logistics partners, and internal teams, helping ensure every shipment meets routing, labeling, ASN, and documentation requirements before it leaves the building. Your work directly impacts customer satisfaction, operational efficiency, and profitability by reducing chargebacks, preventing shipping errors, and keeping product moving smoothly through the supply chain.

What You’ll Do
Retail Compliance & Routing Management
- Manage retailer routing guides and compliance requirements across major accounts including Pacsun, Nordstrom, Macy's, Tilly's, Kohl's, and other wholesale partners
- Coordinate routing requests, transportation bookings, and shipping schedules to ensure on-time delivery performance
- Monitor retailer compliance requirements and communicate updates to internal teams as requirements evolve
- Support onboarding and compliance setup for new retail accounts
Shipment Documentation & EDI Execution
- Create and transmit Advance Ship Notices (ASN) accurately and within required timelines
- Generate and validate UCC-128 carton labels, retailer packing slips, and shipping documentation
- Ensure all shipment documentation meets customer-specific compliance standards before shipment release
- Support EDI-related processes and troubleshoot transaction issues as they arise
Compliance Monitoring & Chargeback Prevention
- Audit shipments for routing, labeling, ASN, and documentation accuracy prior to departure
- Identify compliance risks before they result in chargebacks, delays, or customer issues
- Investigate and resolve routing, labeling, ASN, and compliance-related discrepancies
- Partner with internal teams to implement corrective actions and improve compliance performance
Inventory & Receiving Coordination
- Oversee day-to-day receiving and inventory activities, ensuring product is accurately received, logged, and available for fulfillment.
- Reconcile inbound shipments against purchase orders and 3PL records, identifying and resolving discrepancies quickly.
- Maintain accurate inventory data across systems to support Sales, Customer Service, and Operations.
Logistics & Shipment Oversight
- Coordinate inbound and outbound shipments, working closely with freight partners and 3PL providers to ensure timely delivery.
- Monitor shipment status, proactively addressing delays or issues that could impact inventory availability or launches.
- Stay informed on freight routes, carriers, and cost efficiencies to support smooth logistics operations.
- Coordinating and tracking event merchandise inventory and prop shipments to and from the event
Warehouse & 3PL Coordination
- Partner with warehouse teams and 3PL providers to prioritize workloads across receiving, order processing, quality control, and returns.
- Ensure clear communication and alignment on inventory handling, shipping timelines, and operational priorities.
- Support resolution of returns, damages, or fulfillment issues to maintain inventory accuracy and customer satisfaction.
Workflow & Process Execution
- Create and track WROs (Work Receiving Orders), ensuring all production is accounted for and aligned with delivery timelines.
- Monitor progress against deadlines, escalating risks or delays that may impact launches.
- Maintain organized records, reports, and tracking tools to support visibility and decision-making.
Cross-Functional Support & Execution
- Partner with Sales, Customer Service, Warehouse, Logistics, Production, and EDI teams to support inventory availability, shipment execution, and issue resolution.
- Communicate inventory, shipment, compliance, and operational updates clearly across teams, helping maintain visibility and remove workflow obstacles.
- Support continuous improvement initiatives that strengthen inventory accuracy, logistics execution, compliance performance, and operational efficiency.
What You Bring
Knowledge, Skills & Abilities
- Working knowledge of warehouse operations, inventory control, and logistics coordination, including experience with 3PL partners and freight (domestic and international).
- Experience working in systems such as NetSuite and/or Shopify to manage inventory, orders, and product data.
- Proficiency in Microsoft Office, particularly Excel, for tracking, reporting, and data accuracy.
- Strong understanding of retailer compliance requirements, routing procedures, ASN creation, and shipping documentation
- Familiarity with EDI platforms such as SPS Commerce, TrueCommerce, CommerceHub, or similar systems
- Working knowledge of LTL, parcel, and truckload transportation processes
- Strong organizational skills with meticulous attention to detail across inventory, shipments, and documentation.
- A high sense of urgency and ownership, with the ability to prioritize effectively and follow through on tasks to completion.
- Clear and professional communication skills, both written and verbal, with the ability to work effectively across teams and external partners.
- A positive, collaborative team mindset with a willingness to jump in, support others, and contribute to a strong working environment.

- Demonstrates curiosity and the ability to quickly learn new tools, systems, and processes as the role evolves.
Education & Experience
- Associate’s or bachelor’s degree in supply chain, Logistics, Business, or a related field, or equivalent combination of education and relevant work experience.
- 3 years of experience in routing, compliance, customer routing guides, EDI, logistics, or wholesale operations within the apparel industry
- Experience working with 3PL partners, inventory systems, or fulfillment operations is a plus.
- Experience working with major retail partners and wholesale fulfillment programs
- Prior experience supporting or coordinating workflows within a warehouse or distribution environment preferred.
