Healthcare Receptionist

Audiology & Hearing Practice | Texas | Full-Time | Hourly

$15 – $18 per hour, depending on experience

About the Practice

We are a growing audiology and hearing care practice in Texas, dedicated to providing compassionate, patient-centered care. Our team includes four licensed Doctors of Audiology and a Hearing Instrument Specialist who work together to serve patients experiencing hearing loss at every stage of life. We are a small, close-knit practice where every team member plays a meaningful role in the patient experience — and that starts at the front desk.

We are looking for a warm, organized, professional to join our team of Healthcare Receptionists to be the first and last face our patients see. This is not a background role. You are the heartbeat of the front office, and your care and attention set the tone for every visit.

What You Will Do

Your day-to-day will include a mix of patient-facing and administrative responsibilities in a healthcare setting. No two days are exactly alike, but you can expect to spend your time on the following.

Patient Communication and Scheduling

  • Answer incoming phone calls promptly and professionally, routing calls and taking messages as needed
  • Schedule, confirm, and reschedule patient appointments across multiple provider calendars
  • Send appointment reminders via phone, text, or patient portal
  • Greet patients warmly upon arrival and manage check-in and check-out workflows
  • Assist patients who need help understanding appointment instructions or next steps

Insurance and Billing Support

  • Verify patient insurance eligibility and hearing benefits prior to appointments
  • Collect copays, deductibles, and patient balances at time of service
  • Accurately enter patient demographic and insurance information into the practice management system
  • Communicate with insurance companies and third-party hearing benefit networks (such as TruHearing or Nations Hearing) to obtain authorizations and resolve coverage questions
  • Support the billing team with claim follow-up, patient statements, and account inquiries as needed

Administrative and Office Support

  • Maintain accurate and up-to-date patient records in compliance with HIPAA
  • Prepare patient charts, intake forms, and pre-appointment documentation
  • Manage incoming faxes, mail, and electronic correspondence
  • Order and maintain office supplies and front desk materials
  • Keep the reception area clean, organized, and welcoming at all times
  • Support the clinical team with scheduling logistics, referral coordination, and other administrative tasks as needed

Work Environment

This is an in-person, on-site position at our Texas practice location. You will work primarily at the front desk in a clinical office setting. Our patient population skews toward adults and seniors, many of whom have hearing loss. Patience, clear communication, and a willingness to speak up, slow down, or repeat yourself when needed are genuine requirements for doing this job well — not just nice-to-haves.

You will work closely with the audiologists and HIS on a daily basis. This is a small team, which means there is real accountability and real opportunity. If you are the kind of person who takes pride in doing their job well and genuinely enjoys helping people, you will feel at home here.
