CityDoc Urgent Care is seeking a friendly, detail-oriented Front Desk Representative to join our team. As the first point of contact for patients and visitors, you’ll play a vital role in creating a positive experience while ensuring smooth front office operations. This position requires a balance of administrative accuracy, excellent customer service, and the ability to multitask in a fast-paced medical setting.

- Greet patients and visitors with professionalism, compassion, and courtesy
- Distribute and collect registration paperwork, reviewing for accuracy and completeness
- Provide clear instructions to patients about the visit process, including remaining nearby
- Scan and upload insurance cards and photo IDs
- Add patients to the schedule promptly to maintain order of service
- Notify patients when it’s time to return and send follow-up reminders as needed
- Use Solv to send texts or voicemails regarding visit updates or cancellations
- Accurately document no-shows or patient cancellations in the system
- Create and maintain accurate charts for all walk-ins and scheduled patients
- Enter patient demographics and insurance information into the EMR system
- Print necessary documentation, including demographics and consent forms
- Verify insurance coverage and clearly document verification status
- Alert clinical staff of missing or incomplete information prior to patient placement
- Answer and route incoming phone calls professionally
- Maintain the Daily Transaction Log and front desk records accurately
- Collect patient payments and provide receipts per clinic protocols
- Assist with daily bank deposits and coordinate with other team members for coverage
- Keep the lobby and front desk area clean, organized, and welcoming
- Replenish front desk materials and restroom supplies throughout the day
- Prior experience in a front desk, receptionist, or customer-facing healthcare role preferred
- Strong communication and organizational skills
- Ability to remain calm and efficient in a fast-paced environment
- Comfortable with computers, EMR systems, and insurance verification processes
- High school diploma or equivalent required.
- Prior experience in a medical front office or customer service environment preferred.
- Excellent interpersonal, communication, and problem-solving skills.
- Strong attention to detail and organizational ability.
- Capacity to work independently and as part of a collaborative team.
- Commitment to patient confidentiality and HIPAA compliance.
- Must adhere to all City Doc policies and procedures.
- Bilingual (English/Spanish) is highly desirable but not required.
