In This Role, You Will
- Serve as a key point of contact for residents, employees, and agencies by responding to questions, service requests, and concerns related to public works services (such as potholes, snow removal, and refuse collection)
- Provide high-level administrative support to division leadership, helping coordinate communications, schedules, and daily operations
- Track and organize service requests, work orders, and communications from departments, elected officials, and the public
- Support payroll, budgeting, and financial tracking activities, including data entry, cost tracking, and reporting
- Perform accounting and bookkeeping tasks such as processing invoices, managing accounts payable/receivable, and handling internal billing
- Assist with purchasing and procurement processes, including quotes, bids, vendor coordination, and contract tracking
- Maintain accurate records and ensure compliance with local, state, and federal requirements
- Prepare and distribute communications such as newsletters, notifications, and public information materials
- Help improve office processes and workflows to increase efficiency and organization
- Support operational coordination activities including scheduling, employee communications, onboarding logistics, and special events
- Handle sensitive and confidential information with professionalism and discretion
- An Associate’s Degree in Business Administration, Accounting, Administrative Support, or a related field, and
- Three (3) or more years of progressively responsible administrative experience

- Strong organizational skills and attention to detail
- Excellent customer service and communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Experience with financial or administrative processes (payroll, budgeting, invoicing, etc.)
- Proficiency with Microsoft Office and the ability to learn new systems quickly
- Sound judgment and the ability to handle confidential information appropriately
