This position provides advanced administrative and operational support to the Mayor’s Office and directly assists the Executive Assistant to the Mayor with daily office operations, constituent services, meeting coordination, and executive support functions.

The role also assists executive-level departments, supports public engagement, and coordinates communication and workflow across multiple areas of the organization. Provides administrative support to the Mayor and Executive Assistant, ensuring efficient daily operations. Maintains knowledge of office documents, records, and filing locations to support efficient retrieval and organization.

Assists in organizing, maintaining, and supporting the daily operations of the Mayor’s Office.

Maintains and tracks constituent inquiries,

ensuring timely responses, accurate documentation, and proper routing. Maintains detailed logs of calls, emails, and in-person interactions directed to the Mayor and Executive Assistant. Coordinates scheduling and usage of

the Carolyn Robbins Conference Room. Directs meeting attendees and visitors to appropriate meeting locations and City offices. Maintains the Mayor’s Conference Room and assists with meeting setup and preparation of all official meetings. Assists the Executive Assistant with meeting hospitality arrangements, including beverage service, food setup, and coordination with caterers for meetings and special events. Assists with various meeting types, official functions, and event preparation. Assists with the delivery and distribution of documents, notices,

and materials as requested. Assists with daily office opening routines, including preparations related to meetings, travel, and scheduled activities. Maintains and updates official records, including the Municipal Code book. Assists in the preparation, editing, proofreading, printing, and processing of proclamations, ceremonial documents, and official correspondence. Coordinates logistics and materials for City Council meetings, including seating arrangements, ceremonial components, placement of signage, proclamations, and retrieval of materials following meetings. Coordinates with community organizations, schools, churches, and public groups regarding

participation in official City functions and City Council meeting invocations and pledges. Serves as a liaison between the Mayor’s Office, executive offices, other departments, and the public. Work is typically performed in an office environment with intermittent standing, walking, bending, lifting, and carrying of light objects and

materials. High school diploma or equivalent required; Associate’s degree preferred. Strong work experience in executive managerial level or high visibility roles in administrative support, office coordination, customer service,

governmental operations, or records management, equivalent to having worked in a similar role for 1 to 2 years.

Equivalent combination of education and experience may be considered. Knowledge of administrative support and office coordination practices. Knowledge of local government operations, procedures, and records

Salary : $21 - $1,662
