Job Duties :
The mission of the Resort Programs & Special Events Office is to enhance Virginia Beach’s Resort Area environment for residents and visitors through coordination of City Code enforcement, entertainment programming, franchise business opportunities, hospitality services and maintenance.
It also serves as the City-wide resource for special event and film production permitting, helping to create and capture meaningful experiences.
As an Event Coordinator you will :
- Plan, direct, and supervise large events (5000 ) ensuring compliance with occupancy agreements, conformance with safety and welfare regulations, contractual requirements, and delivery of exceptional quality customer service.
- Coordinate the permitting process and coordination of City services / logistics for special events, beach weddings, commercial and private property and film productions.
Create detailed City Service Request in a timely manner through computerized event management system to distribute to other City Departments.
- Act as liaison between event organizers and state / city agencies. Monitor and critique special events and filming activities to ensure compliance with City policies / codes and regulations.
- Proficiency with Customer Relationship Management (CRM) software and Microsoft Office Suite.
- Monitor City contracts for special events, entertainment and franchises and report to management on compliance with terms and conditions.
- Compile data, prepare reports regarding special events and filming activities.
Must be available to work evenings, weekends, holidays, and overtime when required to meet operational needs.

Minimum Requirements :
MINIMUMS :
High school or GED plus six years experience in fields such as event supervisor, hotel event coordinator, association meeting planner, business or public administration, public relations, hotel / restaurant management, or supervision in a public assembly facility utilizing the knowledge, skills and abilities listed above;
or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.
Must have, or obtain, a current and valid Virginia or North Carolina drivers license in accordance with Virginia or North Carolina DMV drivers license eligibility requirements.

Must be available to work evenings, weekends, holidays, and overtime when required to meet operational needs.

- Minimum of two (2) years of direct experience managing outdoor special events
- Experience with a minimum of three (3) of the following event types - festivals, concerts, sporting events, parades, conventions, charitable events or expressive activity
- Experience with collaborating with public safety departments / representatives and with City & State agencies on event logistics
- One (1) years experience with enforcement of compliance with regulatory requirements for contracts, franchises, licenses and / or permits
- Experience managing events on public property with attendance of 5,000
- Proficiency with Customer Relationship Management (CRM) software
- Basic knowledge of City codes
